GENERAL STATEMENT OF JOB DUTIES
The HR/Finance Administrative Assistant II independently manages a variety of administrative processes across HR and Finance. The role ensures the timely and accurate completion of onboarding and offboarding documentation, benefits enrollment support, and processing of invoices and reimbursements. This position handles routine correspondence, organizes files, prepares reports, and assists in coordinating departmental activities. The Assistant II demonstrates proficiency in agency systems and is trusted to manage recurring tasks with minimal direction. This position can serve as a pipeline for promotion to an HR Generalist or Finance Generalist role.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Perform clerical and data entry support for HR and Finance
Assist with preparation and routing of standard forms and documents
Maintain filing systems, both physical and digital
Maintain databases and generate standard reports
Monitor shared inboxes and respond to requests independently
Schedule meetings, trainings, and interviews
Respond to basic inquiries and route to appropriate staff
Coordinate onboarding paperwork and update employee records
Prepare and route benefit forms and assist with enrollment tracking
Assist with invoice coding, payment tracking, and reimbursements
Assist with payroll or finance transactions such as invoices, P-cards, and reimbursements
Assist with procurement tracking and office supply inventory
Support event logistics and internal communications
Other duties as assigned
MINIMUM QUALIFICATIONS AND REQUIREMENTS
High school diploma or equivalent required; associates degree preferred.
Three years of administrative experience supporting HR, Finance, or similar functions.
Proficiency with Microsoft Office, SharePoint, Teams, and basic database systems
Strong organizational and prioritization skills
Familiarity with HR and Finance practices and confidentiality standards
Ability to independently manage recurring tasks and meet deadlines
Clear and professional written and verbal communication
Commitment to internal customer service
Demonstrated interest and aptitude for advancement into HR or Finance generalist roles
An equivalent combination of related education and experience may be substituted for the above stated minimums excluding High School Diploma, GED, Licenses, or Certifications.
Working Conditions:
Works in an office environment where there is minimum exposure to dust, noise, or extreme temperatures. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting operating facilities, during which the incumbent should observe all policies and procedures, safety precautions and regulations, and use all protective clothing and devices provided.
Physical Requirements:
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
