Administrative Assistant -Financial Services

This role provides critical support to the financial professional(s) and undertakes functions to ensure that the business development, operational, and office management are carried out effectively and efficiently. As part of a collaborative team, this position will partner with another administrative assistant to execute tasks and maintain the firm’s high standards of client service.

Job Responsibilities

New business processing – including follow-up on incoming asset transfers and anticipating next steps for trades.
Existing business servicing – including researching client issues, calling service provider companies, and coordinating with clients to resolve Not In Good Order (NIGO) tasks.
Client data management – maintaining accurate and up-to-date information in client management systems.
Financial planning data input – assisting with data entry into planning software.
Outlook calendar management – ensuring schedules are organized and client meetings are efficiently coordinated.
Client scheduling – managing appointments and maintaining effective communication with clients.
Meeting preparation – retrieving paperwork, preparing reports, and ensuring materials are ready for meetings.
Office compliance maintenance – supporting the team in adhering to regulatory requirements.
Agent licensing management – maintaining licensing records and renewals.
ADHOC instructions and duties as needed – assisting with miscellaneous tasks and projects as assigned.
Collaboration with peers – partnering with another administrative assistant to execute tasks seamlessly and provide cohesive support across the firm.
Dependability and professionalism – maintaining a reliable and proactive approach to responsibilities.
Ability to maintain confidentiality – ensuring the security of sensitive client and company information.

Job Skills & Qualifications

Proficiency in Microsoft Office – Outlook, Word, Excel, PowerPoint.
General financial services industry knowledge – familiarity with financial products and services.
Exceptional customer service – ability to build positive relationships with clients and address their needs effectively.
Attention to detail – maintaining accuracy and thoroughness in all tasks.
Clear communication skills – both verbal and written.
Strong organizational skills – ability to prioritize and manage multiple responsibilities.
Technology savvy – comfortable learning and navigating software tools.

Preferred Experience

Familiarity with systems such as ClientWorks, Money Guide Pro, Salesforce, and Box.

Schedule & Benefits

Hours: 35-hour workweek, Monday through Friday.
Location: 705 Poplar St, Suite A, Atlantic, IA 50022.
