Overview: LocateAI is seeking an experienced EA to partner with one of our most successful executive-level brokers. This position involves project coordination, client-facing communications, and administrative duties in a dynamic brokerage-tech startup setting. The ideal candidate excels at multi-tasking, proactive communication, and a high level of detail orientation — all while ensuring seamless experiences for both colleagues and clients.

Primary Duties:

Assist broker with managing their top clients – overseeing and tracking project timelines and milestones, prepare status reports and proactively identify and address bottlenecks
Prioritize oversight and guidance for critical issues, sometimes acting as an intermediary between the broker and broader team
Prepare, collect, and maintain information for the preparation of reports, proposals, etc.
Assist with management of email correspondence. Reply when possible, track follow up items, and flag urgent messages
Create presentations or project manage the designer to create presentations while upholding brand guidelines
Track transaction closings, prepare and submit all documentation to accounting
Assist broker with tech support (some Mac, some PC), DropBox, finding emails, etc.
Hours for this role are working hours – Arizona time

Secondary Duties:

Occasional domestic travel in support of principal as well as company retreats and/or conferences (~5x per year)
On very rare occasions, the leadership team may need assistance with:
Reports in support of broker (ie pipeline)
On site support for ICSC conference, in tandem with our operations team
Rarely assist broker in emergent travel support (ie cancelled flight, needs alternative)
Contribute to Account Management Manual to be used in the event of absence or new accounts

Minimum Requirements:

Bachelor’s degree
At least 5 years of executive administrative support experience
Commercial real estate background preferred
Highly organized, logical thinker
Excellent written and verbal communication
Excellent attention to detail and follow through
Ability to adapt to changing priorities
Demonstrated ability to maintain confidentiality and work with high level sensitive information

Job Type: Full-time

Pay: From $75,000.00 per year
