Responsibilities:

What You’ll Do

The Senior Administrative Assistant supports the Los Angeles Local and provides a high level of dedicated support to the Local’s Executive Director. This position is responsible for all administrative aspects of the department, including but not limited to maintaining department files, coordinating internal and external meetings, and assisting with special projects as needed. This position interacts with industry partners, elected leaders, senior and executive leadership, and may be included in confidential communication and/or privileged documents.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Manage a broad range of administrative tasks for the LA Local Board and Committees. This includes, but is not limited to:

Coordinate meetings with industry partners, elected local leaders, committee chairs, co-chairs, vice-chairs, and staff.

May be required to attend special events and meetings.

Draft and distribute meeting notices, agendas, and other supporting materials.

Maintain compliance with governance, legal, and communications policies.

Responsible for follow-up on actions, as requested.

Manage a broad range of administrative tasks for the LA Local Department. This includes, but is not limited to:

Maintain department files and procedural records.

Order and maintain supplies for the department and coordinate repairs/replacement of equipment when requested.

Receive, triage, and reroute phone calls and emails from multiple phone lines and inboxes.

Track expenses.

Maintain department calendars.

Support member events, activities, and initiatives.

Coordinate meeting and event logistics including catering, room setup, security, and A/V.

Support LA Local operations and other departments as needed.

Perform other duties as assigned or as the situation dictates.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

Excellent analytical and problem-solving skills and ability to follow through.

Must be a motivated self-starter.

Highly proficient in all aspects of the position.

Consistent professional and articulate telephone manner.

Strong communication skills in English, both oral and written.

Proficiency in PC software applications such as Microsoft Suite, Google Workspace, and Oracle

Must maintain regular and acceptable attendance at such a level as is determined at SAG-AFTRA’s sole discretion.
