We are seeking a proactive and detail-oriented Senior Administrative Assistant to support departmental operations through high-level administrative and logistical coordination. This role is key to ensuring smooth day-to-day functions such as calendar management, travel arrangements, meeting coordination, and internal communications. The ideal candidate is a collaborative team player who thrives in a fast-paced environment and can manage confidential and critical information with discretion and professionalism.

Key Responsibilities:

Provide comprehensive calendar management and administrative support for department leaders

Coordinate meeting logistics including agendas, room bookings, catering, A/V setup, and Zoom links

Organize and manage logistics for key events such as leadership meetings, town halls, staff meetings, and team offsites

Support cross-functional scheduling and coordination, including interview logistics

Collaborate with other administrative team members to ensure seamless departmental operations

Coordinate vendor interactions including scheduling of onsite visits, calls, and travel

Submit travel and expense (T&E) reports using Concur or equivalent systems

Maintain agendas and documentation via Microsoft Teams, SharePoint, OneNote, etc.

Assist with onboarding of new team members, including meeting invites and communications setup

Proactively identify opportunities to streamline and improve departmental procedures

Handle additional tasks and special projects as assigned by departmental leadership

Requirements

Qualifications:

Bachelor’s Degree preferred

Minimum 5 years of administrative experience

Proficiency in Microsoft Office Suite, including Outlook, Teams, and SharePoint

Experience with Concur or similar expense and travel management systems

Excellent verbal and written communication skills

Strong organizational skills with the ability to manage multiple priorities simultaneously

Ability to work independently and exercise sound judgment

Professionalism and discretion in handling confidential information

Effective interpersonal skills with the ability to collaborate across all levels and departments

Strong attention to detail and ability to identify conflicts in scheduling or priorities
