SUMMARY:
Responsible for the daily administrative/secretarial duties for assigned attorneys and other special projects and general office needs as they arise.
SCOPE:
To provide support to an assigned attorney(s) as well as any Firm attorney or management personnel as needed. Flexibility with regard to (a) overtime needs; (b) special needs and/or specific requests or projects (whether for attorneys or other Firm management); and (c) coverage of other support staff needs of the Firm. To be responsive, confidential and proactive in assigned duties and responsibilities.
RESPONSIBILITIES & SPECIFIC DUTIES:
Answer, screen, route calls
Set up conference calls
Schedule management/Task lists
Maintain calendar and contacts – set up “tickler” for contacts
Perform photocopying, scanning, faxing, binding, filing, etc.
Track monthly expenses and prepare expense reports in Chrome River application
Prepare legal correspondence, documents, electronic filings, etc.
Create and maintain files/e-mail
Track attorney bar/court/CLE information/process renewals
Draft and enter attorney hours into time management system
Meet/greet clients; arrange meetings, client travel/meals (including any beverage/food and AV requirements)
Prepare new client/matter forms; engagement letters, etc.
Make travel arrangements
Note-taking/circulation for calls and meetings
Review incoming legal periodicals and flag relevant articles
Conduct online research on clients/prospects/article searching
Backup for other assistants as needed; backup for reception daily
Coordination of lunch hours with other assistants
Flexibility with regard to overtime needs is mandatory
Other administrative duties as requested
Flexibility with regard to special projects or specific needs
Comply with all Firm policies, including dress code guidelines
Willingness to learn new technology
Review and edit of monthly prebills; drafting cover letters for same
SKILLS:
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
