Job Summary

Under the general direction of the Assistant Vice President of Division Operations, the incumbent providesleadership, operational, and administrative oversight of the CSULB 49er Foundation Operations and Gift Processing Department. Serve as the primary university contact for charitable gifts, ensuring the integrity of the Advance System gift module, and managing daily operations related to gift processing, accounting, and reporting. Additionally, they oversee Planning Giving Administration, CSULB 49er Foundation Operations, and Database Management for giving related software.

Key Responsibilities

Gift Processing Management:
Lead unit responsible for processing and recording incoming donations, ensuring accuracy and timely acknowledgment to donors.

Reconciliation, Reporting and Accounting:
Serve as point of contact to colleagues with data warehouse reports, i.e, current account balances, and endowment information inquires via Fundriver.

Management of Planning Giving Administration:
Serve as primary contact with donor’s estate representative and review of PG Calc.

Oversight of CSULB 49er Foundation Operations – Serve as point of contact for Labyrinth, regarding non-profit registration by state. Approve new fund requests, item code requests, Advance System allocations.

Oversight of Database Management/Conversion and giving related software – Oversee data integrity, including essential coding for the mapping of the Advanced/Cashnet interface process or anothercash handlingvendor. Identify and rectify any discrepancies or errors promptly. Enforce stringent Level 1-2 data security guidelines to safeguard University data. Ensure compliance with established security protocols for all external data requests, prioritizing the confidentiality and protection of sensitive information.

Skills and Abilities

Demonstrated knowledge of IRS and other charitable gift processing standards and procedures. Ability to lead a team effectively. Ability to communicate both verbal and written training information to end-users. Ability to maintain working relationships with the university and philanthropic community. Ability to positively interact with administrators, faculty, staff, students, volunteers, and donors. Ability to perform detailed administrative work requiring accuracy and speed.

Ability to be discrete in handling confidential information. Ability to perform mathematical calculations. Strongattention to detail.

Ability to communicate with an ethnically and culturallydiversecampus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university’s commitment to a “vision of excellence.”

Education and Experience

Equivalent to a bachelor’s degree in Accounting, Finance or Business Administration related field and/or three years of experience in a related field required.

• Knowledge and experience in Data warehouse/People Soft is preferred.

• Experience with fiscal reporting, accounting, and finance calculations.
