Description
Key responsibilities
Support CEO and broader leadership team (75%)
Manage and maintain the CEO’s complex calendar, ensuring seamless scheduling of meetings, appointments, and travel arrangements.
Handle all aspects of travel planning, including booking trains, accommodations, and creating detailed itineraries.
Process and manage expense reports, ensuring timely and accurate reimbursement.
Serve as the primary point of contact between the CEO and internal/external stakeholders.
Office Management and Events (15%)
Oversee the day-to-day operations of the office, ensuring a productive and positive work environment.
Organize and execute company events, from monthly team meetings to large corporate functions, coordinate company-wide meetings and events, including bi-annual office parties
Manage office supplies and inventory, ensuring the office is always well-stocked and equipped.
Liaise with building management and external vendors to resolve any office-related issues.
Light IT Support (5%)
Manage computer inventory, purchasing, relationship with key vendors (e.g. printer, internet provider)
People Onboarding & Offboarding Management (5%)
Work with HR team to manage onboarding and offboarding process, including coordinating the signing and distribution of documents and managing relevant enrollment processes

Requirements
At least 5 years’ experience supporting C-suite executives.
Excellent communication & interpersonal skills.
Excellent spirit of collaboration and teamwork.
Extremely organised, diligent, and patient with a strong attention to detail.
Fluent in English and French
Must be available to come to the office in Paris at least 4 days per week
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software.
Comfort with IT and willingness to learn new technologies.
Discretion and confidentiality in handling sensitive information.

Availability to travel to London or Munich from time-to-time
