The Opportunity

We are looking for aSenior Personal Assistantto join our Administrative Team in our London Office. This is an exciting time for Robert Bird Group, as we go through continual expansion, and so presents an opportunity for someone looking to further their career within a thriving engineering consultancy.

The Senior Personal Assistant will manage the day-to-day business activities of four of our Directors, coordinating meetings with internal and external contacts, preparing and tracking expenses and arranging complex travel. The other significant part of the role is supporting reporting to both nationally and globally.

In both roles you will need to demonstrate the ability to handle confidential information with discretion and utilize significant amounts of independent judgement.

Duties

Organize and coordinate directors daily calendar – scheduling all appointments if requested, coordinating logistics and handling special event invitations on behalf of the MD.

Manage and arrange travel for directors.

Proactively consider needs related to calendar and travel.

Prepare expense reports

Write individualized correspondence and other documents

Assist in writing reports

Manage organizational communication, scheduling, and logistics for key internal events such as board meetings, staff meetings and manager’s meetings.

Attend key meetings and take meeting minutes if requested.

Preparing and collecting Branch Reports every month and compile into one document.

As appropriate, provide administrative support to the Executive Team members in terms of managing meeting logistics, coordinating schedules.

Provide event support and planning, including meetings, staff events. This includes logistical research and planning, day-of support, invoice/billing management.

Support other functional areas and members of the organisational leadership team with special projects as needed. May include projects in HR, Recruiting, Marketing and Finance.

Required Skills and Experience:

Demonstrable experience working with directors

Good skills in Microsoft Suite

Happy with a hybrid role attending the office on a regular basis when needed (Southwark, London)

High tolerance for ambiguity, changing work priorities and deadlines, have independence to manage responsibilities and to prioritize own workload on multiple projects.
