The business involves multiple client sites, vendor teams, supervisors, night operations, location-wise planning, and strict execution timelines.

About the Role

We are looking for a highly organized Operations Scheduling Coordinator who can manage daily job planning, vendor coordination, supervisor deployment, and execution follow-ups for our Kitchen Duct Cleaning vertical.

This is not only an admin role. This is a live operations control role.

You will be responsible for ensuring that every job is properly scheduled, every vendor is confirmed, every supervisor is assigned, and every operational gap is identified before it becomes a problem.

Since Kitchen Duct Cleaning is a niche service, we are open to hiring candidates from other high-coordination industries such as logistics, dispatch operations, fleet management, e-commerce delivery, manpower staffing, housekeeping, pest control, hospitality operations, field services, or any business where daily job scheduling and vendor coordination are critical.

Key Responsibilities

Maintain the master job calendar for all Kitchen Duct Cleaning jobs.

Update job details including client name, location, date, time, vendor team, supervisor, and job status.

Coordinate with vendor teams and confirm availability before every scheduled job.

Ensure vendor confirmation is completed at least 24 hours before job execution.

Coordinate with supervisors and the Operations Manager for manpower deployment.

Identify and prevent scheduling conflicts such as vendor double-booking, supervisor overlap, location clashes, travel gaps, and last-minute changes.

Coordinate with the client coordination team for rescheduling, cancellations, new job additions, and client timing changes.

Update the live schedule whenever any job is added, postponed, cancelled, or changed.

Prepare and share daily job schedule briefings with the operations team, vendor team leaders, and supervisors.

Maintain a backlog tracker for confirmed jobs that are pending scheduling.

Track vendor availability city-wise and raise early alerts for capacity gaps.

Prepare a weekly job forecast for upcoming jobs across different locations.

Follow up with vendors, supervisors, and internal teams to ensure jobs start on time.

Escalate risks, delays, manpower gaps, or execution challenges to the Operations Manager.

Key Performance Indicators

The role will be measured on:

Vendor confirmation before scheduled jobs.

Supervisor assignment for all confirmed jobs.

Accuracy of the master job schedule.

Reduction in scheduling conflicts.

Daily schedule briefing shared on time.

Jobs starting as per planned timing.

Real-time tracker updates.

Timely escalation of risks and delays.

Required Experience

2–4 years of experience in any of the following areas:

Logistics coordination

Dispatch coordination

Fleet coordination

Field operations

Service operations

E-commerce delivery operations

Manpower deployment

Housekeeping operations

Pest control operations

Hospitality operations

Facility management

Vendor coordination

Back-office operations for field teams

Kitchen duct cleaning or facility management experience is preferred but not mandatory.

Required Skills

Strong scheduling and planning ability.

Good communication skills.

Strong Excel or Google Sheets knowledge.

Ability to handle multiple vendors, jobs, and supervisors at the same time.

Calm under pressure.

Strong attention to detail.

Ability to identify gaps before they become operational failures.

Comfortable working in a fast-moving service operations environment.

Good to Have

Experience using Google Sheets, Excel trackers, Zoho, Monday.com, job management software, CRM tools, or task management apps.

Experience in night operations, site coordination, or manpower deployment.

Experience coordinating vendors or field teams across multiple locations.
