JOB TITLE: Office Assistant

REPORTS TO: Chief of Staff

HOURS: Full-time, Monday-Friday with occasional evening and weekend events.

COMPENSATION: Hourly plus excellent benefits

JOB PURPOSE:

Reporting to the Chief of Staff the role of the Office Assistant (OA) is to perform the duties needed in the areas of primary reception, general operations, and administrative services. The position will be required to cross train with other administrative support staff in the organization.

KEY RESPONSIBILITIES:

Serve as the primary receptionist by answering incoming phone calls and operating a multi-line telephone system.
Welcome visitors by greeting them, in person or on the telephone; answering and referring inquiries.
Administrative duties include internet research, receiving and distributing incoming emails, typing letters, processing outgoing mailings, reviewing incoming correspondence, brand checking outgoing communications, and maintaining files.
General coordination of office functions, including kitchen, kitchen supplies, and conference room. Maintain clean, safe, and welcoming environment.
Pick-up and drop off mail at post office, process mail, prepare bank deposit.
Maintain and organize inventory supplies and re-stock as needed.
Maintain office equipment according to schedule.
Assist with improving operational processes by documenting procedures and workflows, seeking ways to streamline procedures, and contributing to a more efficient office environment.
Spot potential operational challenges early on and work with Chief of Staff to resolve them to the satisfaction of all involved parties.
Provide backup assistance for IT needs of the organization, including phone system, computer hardware & software, setup, maintenance, and connectivity.
Assistance and active participation with organization-wide events, speaking engagements, and activities.
Any other duties needed to help drive our vision, fulfill our mission, and abide by our organization’s values.

JOB QUALIFICATIONS/REQUIREMENTS:

Education and Experience

High school diploma, two years, or more, of college preferred.
Minimum two years’ experience administrative experience.
High degree of proficiency with MS Office products including Microsoft Word, Outlook, and Excel.

Essential Skills and Qualifications

Intermediate to advanced skills using Microsoft Word, Outlook, and Excel. Testing will be required.
Strong time management and organizational skills, able to operate on a schedule, meet deadlines, and manage multiple projects simultaneously with excellence.
Strong written and verbal communication skills; ability to communicate effectively, thoroughly, and accurately.
Dependable, able to consistently follow instructions
Self-starter, motivated daily by a passion to see our work advance.
Problem-solver, able to document, analyze, and improve processes.
A strong work ethic with a teachable attitude.
Thrive in and enjoy working in a multi-tasking, fast-paced work environment; highly efficient.
Ability to remain flexible with ever changing priorities.
Ability to type 60 words per minute (wpm), 75 wpm preferred.
Out-going, pleasant, and professional demeanor, both in person and on the telephone.
Ability to lift and carry up to 30 pounds.

Character/Spiritual
