Job Summary:

The Office Manager plays a key role in ensuring the daily operations of the firm run efficiently and professionally. This individual is responsible for managing administrative functions, supporting onboarding processes, maintaining accurate client data, and providing direct assistance to leadership, allowing the firm’s partners to focus on client development and sales.

Key Responsibilities:

Serve as a direct report to the firm’s partners, providing updates and insights on all matters
Grow into the firm’s CRM subject matter expert
Manage daily administrative functions and act as the primary point of contact for operational issues.
Process and complete client service requests including death claims, payroll deferrals, and terminations, while tracking one-time and recurring service requests.
Answer, screen, and direct incoming calls
Assist Marketing with projects, event planning, set up and scheduling
Serve as a direct support to the owner in email management and task completion.
Greet and acknowledge all clients and visitors upon arrival at the office.
Efficiently identify and anticipate clients’ needs and maintain in-depth knowledge of the firm’s product offerings.
Assist clients with navigating online application systems and other digital tools.
Act as a liaison between clients, advisors, and vendors
Maintain employee records and facilitate HR-related tasks which may include onboarding of new employees
Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
Assist with research and document preparation for meetings with clients and vendors.
Gain working knowledge in all core areas of the business, including underwriting, proposals, plan design, and provisions.
Review and approve weekly time and attendance reports for administrative staff.
Manage inventory of office kitchen supplies and equipment, and monitor office cleanliness
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Ensure adherence to internal policies and procedures while positively supporting partners’ goals and decisions.
Represent the firm with professionalism and integrity at various community events and industry functions.
Collaborate with the team to maintain an inclusive, productive, and growth-minded work environment.
Other duties as assigned

Qualifications & Expectations:

Minimum of 3 years experience in office administration, financial services, or related field preferred is required.
Relevant experience in the insurance and/or executive benefits industry preferred.
Experience in Salesforce or related CRM is preferred.
Problem-solving and decision-making capabilities
Proficiency with Microsoft Office
Familiarity with human resources practices and basic financial management
Provide exceptional customer service and teamwork mindset.
Exhibit strong attention to detail and organizational skills to manage multiple priorities and maintain accurate records.
Maintain a high level of integrity and discretion
Possess excellent interpersonal and communication skills—both written and verbal.
Demonstrate a high degree of professionalism in appearance, behavior, and interactions.
Show adaptability and willingness to embrace change
Capable of managing time independently and prioritizing duties with minimal supervision.

Job Type: Full-time

Pay: $45,000.00 – $60,000.00 per year
