The Office Coordinator will:
Coordinates office administrative and clerical functions; responsible for promoting an orderly workflow within the department. Assists the Director and/or designee in coordinating and leading those employees in the department. Serves as a resource person in the resolution of work-related problems. Work requires a comprehensive understanding of policies and procedures and operations in order to assume administrative details such as answering questions from callers and visitors.
Coordinates office operations and procedures to ensure efficiency and quality. Develops and implements office flow policies and procedures. Revises procedures and evaluates production to maintain a smooth operation and constant workflow throughout the practice, always seeking ways to do this more efficiently and cost-effectively.
Organizes and assigns duties to employees relating to time and attendance, bookkeeping, correspondence, patient registration, records payment, billing process within the division, transcription, and typing, medical records, appointment scheduling, answering the telephone, setting up meetings and taking minutes, and assisting the providers in the practice. Monitors performance of non-clinical practice personnel to ensure that assigned duties are completed in a timely fashion consistent with hospital standards of accuracy and patient care.
Transcribes letters and manages correspondence. Answers phones, collects, opens, prepares, and distributes incoming and outgoing mail, faxes, and email. Prepares correspondence and reports with a high level of attention to established grammar, spelling accuracy, and professional layout. Checks out departing patients and make any necessary follow-up appointments, scheduling appropriate tests and procedures; makes referral appointments. Handles patient complaints and follows up with billing and registration departments to ensure patient satisfaction.
Acts as liaison to various patient service departments including but not limited to cardiology, radiology, in-patient units, and lab. Acts as liaison to community providers, ensuring all are notified of their patient admissions, send discharge summaries, and medication reconciliation to referring provider in a timely manner.
Prepares and maintains time sheets; schedules employee time off according to hospital policy and current needs; procures coverage for absent employees as appropriate. Prepares all division vouchers for approval. Assures protection, of patient files and protected patient information.
Orients and trains employees; collaborates in developing training materials. Maintains the inventory of all supplies needed and troubleshoots equipment issues and reports faulty/missing equipment upon discovery. Reports all necessary information and/or unusual occurrences in accordance with documented policy and procedure. Files and maintains records for the Department. Assists in the preparation and maintenance of division statistics. Reviews all billing process and create a policies and procedures for the practice related to patient’s accounts. Develops and maintains a system for tracking and maintaining statistics.
Participates in Quality Assurance activities. Participates in the implementation of changes based on QA or nationally recognized recommendations. Responsible for projecting a professional image and behavior when interacting with patients and personnel. Demonstrates a professional level of tact, courtesy, respect, empathy and enthusiasm on an on-going basis when dealing with patients and fellow employees. Uses constructive criticism to the best of his/her ability to improve job performance as requested. Actively participates in group and person-to-person discussions on departmental issues. Serves as a superuser for computer applications. Provides the department with general administrative support.
Requirements:
Medical terminology and data entry experience. 3-5 years’ experience in a medical setting with leadership responsibilities.
Must be versed and able to train new employees and familiar with systems to assist physicians and nursing staff on use and troubleshooting.
Strong MS Office Suite skills; excellent verbal communication skills; ability to maintain tact and diplomacy.
High attention to detail; ability to multitask.
