Job Description
The Nutrition Services Administrative Coordinator provides direct administrative, clerical, personnel, and organizational support to the Senior Manager of Nutrition Services. This position ensures smooth and efficient operations across departments by supporting program documentation, communication, grant tracking, and compliance with federal and state child nutrition programs (NSLP, SBP, CACFP, etc.) while also contributing to the planning and execution of catering, cultural events, and student-centered initiatives led by Harvest Hall. Responsibilities include, but are not limited to, supporting daily operations, maintaining accurate records, assisting with compliance training and oversight, and assisting with various projects and initiatives as needed to ensure the success of the Nutrition Services Department.
Essential duties:
Assist with the preparation and submission of reports, including cumulative meal counts, site monitoring, and invoices.
Oversee, organize, update, and maintain accurate digital and physical records related to food services operations, including audits, trainings, vendor agreements, and compliance documentation.
Schedule and prepare materials for meetings, trainings, workshops, and audits; take meeting minutes as needed.
Support the application process for Free and Reduced-Price Meals and Alternative Household Income Forms, including managing paper and online applications and data entry.
Manage internal communication systems (e.g., shared folders, calendars, email updates) to keep the nutrition services team informed and aligned.
Assist with compiling and organizing documentation for administrative reviews (audits) and corrective action plans.
Track training requirements and certifications for food service staff and ensure documentation is current.
Ensure accurate record keeping for USDA, CDE, and internal compliance including Justice for All postings and HACCP documentation.
Support Senior Manager in maintaining vendor files, quote comparisons, RFP documentation, and tracking procurement timelines.
Assist with order entry, receipt confirmation, and updating inventory databases as needed.
Maintain updated SOPs, visual guides, and checklists for staff across both campuses.
Assist in the recipe standardization process by ensuring accurate data entry into tracking systems and attaching all required supporting documentation, such as nutrition labels, yield information, and ingredient specifications.
Organize and track grant-related documentation, deadlines, and reporting requirements.
Attend department meetings, in-services, and workshops as needed.
Qualifications
High School Diploma or equivalent
3+ years of administrative or clerical experience; experience in a school food service setting is a plus.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office, Google Suite, and basic data entry software.
Familiarity with NSLP, SBP, CACFP, and USDA guidelines is a plus
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Ability to multitask and prioritize in a fast-paced environment.
Work Environment
Combination of office and school kitchen environments.
Occasional travel between campuses may be required
May require lifting up to 25 lbs., occasionally assisting with file boxes or program materials
Pay Range: $24.00- $30.00/hour. Final compensation will be dependent upon skills & experience.
