About the Role:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing front desk activities, and delivering exceptional customer service and be the voice of our brand for customers seeking help, advice, or simply a friendly connection. Key Responsibilities:
Office Administration
Oversee daily office operations to maintain a professional, welcoming, and efficient environment.
Manage office supplies, showroom samples, and inventory with a keen eye for detail.
Coordinate internal meetings, company events, and seasonal sales events.
Support HR processes like new hire onboarding, internal communications, and team engagement activities.
Manage vendor relationships and service contracts (IT support, cleaning, supplies).
Maintain a clean, organized showroom space aligned with brand standards.
Track and manage product samples for marketing, sales, and PR initiatives.
Assist with coordinating sample shipments and returns.
Liaise with building management for repairs, maintenance, and upgrades.
Coordinate with IT partners to maintain office technology and support staff needs.
Customer Support
Serve as the main point of contact for customer inquiries across email, phone, and social media.
Assist customers with orders, returns, product information, and shipping updates.
Track customer feedback and work with internal teams to continuously improve service.
Manage customer service software to keep communications timely and organized.
Handle VIP customers and special requests with care and professionalism.

Qualifications:
3–5 years of office management, administrative, or customer support experience.
Strong written and verbal communication skills.
Experience with Shopify, Gorgias, or similar customer service platforms is a plus.
Familiarity with fashion, retail, or lifestyle brands preferred.
Proficiency in Google Workspace (Docs, Sheets, Calendar) or Microsoft Office.
Strong organizational skills with the ability to manage multiple priorities effectively.
Excellent customer service skills with a friendly and approachable demeanor.
Strong attention to detail and accuracy in all tasks performed.
Ability to work independently as well as part of a team in a fast-paced environment.
Good experience with social media management is a plus.
