Pay Grade:
Assistant 6
The Technical Assistant role executes operational tasks that enable timely, compliant delivery of Workforce Development programs throughout the division. The position reports to the Senior Director of IT Workforce Readiness and provides administrative and technical support to Coordinators and Program Directors/Department Heads by managing class documentation, contracts, payroll coordination, student communications, reporting, and required records. The Technical Assistant maintains class files in an audit-ready state and supports consistent, high-quality division operations.
Responsibilities and Duties (

* Provide administrative support for daily program activities by maintaining schedules, updating records, responding to inquiries, and ensuring clear, timely communication for stakeholders.
* Create, compile, and maintain course documentation, including registration forms, rosters, billing records, memos, and instructor files and submit to the appropriate department or personnel.
* Prepare, process, and track contracts, payroll, human resources and accounting forms, amendments, refunds, and other administrative documents in accordance with institutional deadlines.
* Maintain accurate and organized records for classes, schedules, expenditures, reimbursements, and ensure compliance with applicable policies and requirements.
* Provide administrative and technical assistance to staff, including preparing course packets, and supporting operational needs.
* Review assigned documentation for accuracy, completeness, and timely submission.
Arrange and schedule meetings, training, workshops, events, and room reservations.
Prepare and route documentation promptly to the intended recipients.
Maintain departmental filing systems and databases, track class records, and produce reports or data visualizations to support decision-making.
Collaborate with other Technical Assistants to ensure documentation accuracy and effective communication across divisions.
Print, distribute, and mail program certificates and materials, as needed.
Transfer course information to third-party partners or agencies, as required.
Process electronic purchase requests, track orders, and communicate with relevant stakeholders for payment.
Assist with training staff in administrative processes and engage in professional development activities.
Prepare documents, correspondence, and presentations using Microsoft Office and other relevant tools.
Support Workforce Continuing Education (WCE) programs across all programs within the division.
May represent the division in meetings, trainings, open houses, recruiting events, or workshops when requested by divisional leadership.

Knowledge, Skills & Abilities
Strong organizational skills for scheduling, contract, and data management.
Capacity to manage repeatable processes with accuracy and efficiency.
Skill in proactive communication and collaborative problem-solving with multiple stakeholders.
Proficiency in Microsoft Office and related administrative tools.
Requirements:
High School diploma or equivalent
Three years’ work experience in a clerical position or an equivalent combination of education and experience
Preferences:
Associate Degree
Clerical experience in a community college setting
