Job Description
This is a part-time position with the Texas EMS, Trauma & Acute Care Foundation (TETAF), a 501(c)(3) nonprofit organization based in Austin, Texas. TETAF supports development of the state trauma and emergency health care system by providing verification surveys for trauma, stroke, neonatal intensive care units and maternal care facilities. TETAF also provides legislative advocacy on these and related issues, and educational opportunities throughout the state that are focused on trauma, EMS, and perinatal care. TETAF seeks a dedicated, self-motivated candidate who will provide scheduling support for verification surveys in hospitals around the state and support senior staff. The individual hired for this position will be part of a fast-paced, multi-tasking atmosphere and will need to excel at providing continuous customer service follow-through. TETAF is a mission-driven organization focused on improving patient outcomes throughout the state and the right candidate will assist in moving this mission forward. Pay will be commensurate with education and experience. TETAF has a shared office space and hybrid work from home opportunities. This position will have flexible, agreed upon hours (estimated 24-28 hours per week) and will primarily be a work from home opportunity.
Roles and Responsibilities:
Support survey scheduling, contracting and communications with TETAF staff. Communication and coordination between hospital, surveyor contractors, and TETAF staff.
Remote customer service (email, virtual meetings, phone and direct messages)
Surveyor support during surveys
Maintaining surveyor credentialing files and contract management
Management and coordination of virtual surveys
Surveyor training team support
Survey contracts and document management
Survey operations monthly statistical reporting
Education operations support
Hospital customer database maintenance using Microsoft Access platform
Recording and documentation of payments received
Other duties as assigned
Qualifications and Education Requirements
Bachelor’s degree in business or related field preferred
Excellent written and oral communication skills are necessary for frequent, daily communication by email and phone.
Strong project management skills in a deadline-oriented environment. Must be comfortable tracking and following-up on communications with multiple contacts on one project.
Intermediate or higher-level knowledge of Microsoft Outlook (email and calendar functions), digital files storage systems (such as Microsoft Sharepoint and Dropbox), Microsoft Office programs (Excel, Word, PowerPoint), and Adobe Acrobat Pro.
Good understanding of simple database operations. Microsoft Access preferred.
Proficiency in virtual meeting platforms such as Microsoft Teams, Zoom, and GoToMeeting. Ability to schedule, host and provide basic troubleshooting to meeting participants.
Prior office management experience.
Principal office is in Austin and residency in or near Austin preferred. Remote or hybrid working opportunities will be available.
Contribute to team effort by accomplishing other tasks as needed.
Job Type: Part-time
Pay: $22.00 – $26.00 per hour
