Description of Work

This position resides in the Communicable Disease Branch of the Division of Public Health (DPH) and works out of the downtown Raleigh location with hybrid office/teleworking options available.

The duties of this position include:
Answering telephone enquiries, handling confidential information, and providing professional customer service to callers to the Communicable Disease Branch
Sorting and filing infectious disease reports; performing searches, entering data and running reports from North Carolina Electronic Disease Surveillance System software
Providing scheduling and booking support for travel and tracking travel receipts and paperwork

Assist with grant preparation, including review and reconciliation of budgets.

Qualified applicants must document on the application that they possess all of the following:

Significant knowledge of office or work unit procedures and practices, including the ability to use correct grammar, vocabulary, and office terminology to compose and/or proofread correspondence, reports, and other materials.
Experience scheduling and coordinating a variety of appointments, meetings and/or conferences.
Experience communicating accurate information and following office procedures when responding to questions or inquiries from staff and vendors.
Using courteous and insightful judgement when problem-solving issues with staff or performing public contact and communication that may be sensitive in nature.
Experience applying applicable laws, rules, and regulations independently, including general accounting practices.
Experience recording, compiling, summarizing, and performing basic analysis of narrative and numerical materials.
Experience tactful judgement when coordinating and monitoring office procedures and workflow.

Management Preferences:

Experience maintaining vendor relations.
Experience in the NC Division of Public Health.
Experience with the NC State procurement system.
Experience with the NC travel authorization and reimbursement system.

Physical Requirements:

Ability to work independently in non-handicapped accessible areas.

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience;
