Overview:

The Administration Assistant is responsible for coordinating day to day administrative activities in a specific region or function. This position is an Individual Contributor role. This role performs a variety of administrative functions to produce department reports, spreadsheets, and presentations. The role directly reports to the department Director or Supervisor and routinely interacts with employees and managers in various functions.
Responsibilities:
Coordinates and processes general administrative work.
May handle complex and sensitive information on a regular basis.
Performs a variety of research functions and uses computer programs to produce spreadsheets, word documents, and presentations.
Prepares and proofreads documents, correspondence, and forms.
Carries out varied assigned tasks requiring strong knowledge of office protocol and has a firm understanding of the organization, programs, and procedures related to the work of the office
Types and proofreads documents, correspondence, and forms.
Sets up and maintains manual and electronic filing systems. Ability to use electronic document control system(s).
Maintains office supplies and other materials required for office or jobsites.
Answers the telephone, takes, and relays messages and information to appropriate personnel.
Coordinates and assists team members with travel arrangements for business purposes and assist with expense report preparation as requested.
Photocopies, faxes, and scans documents as required.
Assists employees and managers and regularly acts as a point-of-contact for site administrative requests.
May interface with clients, contractors, and suppliers.
Performs additional assignments as requested.
Qualifications:
High school diploma, or GED equivalent, plus a minimum of 1-3 years of related experience preferred.
Computer proficiency and intermediate knowledge of Microsoft Office (specifically MS Excel, PowerPoint, Word and Outlook).
Proficient skills in operating personal computers, printers, and phone systems. Trouble shoot issues with corporate help desk or outside resources as needed.
Proficient administrative knowledge of business procedures, software, company processes and procedures
Interpersonal skills and ability to interface comfortably with all levels of internal management and staff as well as clients
