Main duties and responsibilities                                  

  • Serve as the focal point for collecting cooperation needs from training programs, faculty members, and related partners and reporting to Faculty manager(s) in order to develop annual implementation plans;
  • Coordinate with relevant offices and Japanese partners in developing and finalizing collaboration proposals related to teaching and scientific researching activities;
  • Support the organization of Consortium academic activities, including:
  • Workshops, seminars, and research activities;
  • Reception and support for Japanese and international experts and lecturers visiting the Faculty for teaching and research purposes;
  • Handling logistics, coordinating schedules, preparing documents, invitation letters, meeting minutes, and supporting meetings with partners.
  • Take responsibility for compiling periodic and ad hoc reports as required by the VJU Consortium and Faculty manager(s);
  • Support academic and training-related activities, including:
  • Coordinating the preparation of the Faculty’s academic timetable;
  • Supporting lecturers, students, and graduate students in the preparation and defense of graduation theses, capstone projects, Master’s theses, and doctoral dissertations;
  • Supporting the invitation and coordination of domestic and international lecturers for the Faculty;
  • Supporting student-related activities when necessary.
  • Other duties as assigned by the Dean, Vice Dean(s) of the Faculty and the Rectorate Board of VJU.

Qualifications

  • Education: Bachelor’s degree or higher in relevant fields such as Social Sciences, Administrative Management, or related disciplines.
  • Work experience: At least 2 years of working experience in organizations or institutions, with preference given to candidates who have experience working in higher education environments or international organizations.
  • Foreign language:
  • For the assistant of Faculty of Advanced Technology and Engineering (FATE): IELTS certificate with a minimum score of 6.0 or equivalent and Japanese language proficiency is an advantage.
  • For the assistant of Faculty of Interdisciplinary Social Sciences (FISS): JLPT N2 or equivalent, and English certificate of IELTS 6.0 is an advantage.
  • Preferred skills:
  • Proficiency in Microsoft Office and the ability to use AI tools to support work tasks;
  • Demonstrated ability to work under pressure and make deadlines;
  • Demonstrates good judgment; approachable and professional; problem solving skills; ability to handle multiple tasks; self-motivated; well organized;
  • Strong communication skills (both written and oral) and teamwork skills.
  • Attitudes:
  • High commitment to deadline;
  • Highly responsible toward work;
  • Having energy and enthusiasm for education;
  • Responsibility, accountability and services oriented.

Salary and Benefit

Successful candidate will be offered an attractive remuneration package comprising of:

  • Basic monthly salary: negotiable;
  • Others: Followed regulation.

Recruitment process

  • Shortlisted candidates will be interviewed by a Selection Committee established by the Rector.
  • Successful candidate will be offered a 1-year contract with 02 months’ probation period.
