Join Our Team as a Utilities Operations Administrator.
We are seeking a detail‑oriented and highly organised Utilities Operations Administrator to join our team. This role is responsible for providing end‑to‑end administrative and billing support to the Utilities function, with a strong emphasis on the accurate capture, maintenance, and reconciliation of utility data to ensure precise billing and effective cost recovery. Acting as a central point of coordination, you will liaise closely with landlords, tenants, utility service providers, Finance, and the Utilities Manager to resolve queries, maintain comprehensive records, and support informed operational and financial decision‑making.
What You'll Be Doing
Utilities Billing & Administration
- Capture, verify, and process utility billing information accurately.
- Ensure billing records are maintained in line with internal controls and reporting requirements.
- Support cost recovery processes by ensuring accurate allocation and reconciliation of utility costs.
Data Management & Reporting
- Maintain accurate and up‑to‑date utility data and records.
- Reconcile utility consumption and billing data on a regular basis.
- Prepare and maintain reports to support decision‑making and cost management.
Query Management & Coordination
- Act as a key liaison between landlords, tenants, utility providers, Finance, and the Utilities Manager.
- Investigate and resolve billing and utility‑related queries timeously.
- Coordinate information flow to ensure clear communication across stakeholders.
General Administration
- Provide day‑to‑day administrative support to the Utilities function.
- Maintain organised filing systems and documentation.
- Support continuous improvement of administrative and utility management processes.
What You Bring To The Table
- Matric / Grade 12 (minimum requirement).
- 2+ years’ relevant administrative experience.
- Strong administrative background is essential.
- Valid Driver's License (advantageous)
- Previous utilities or billing experience is advantageous; however, training can be provided.
- Certificate or Diploma in Administration, Finance, Accounting, or a related field (advantageous).
- Excellent organisational, planning, and time‑management skills.
- Strong written and verbal communication skills.
- Proven ability to follow up, resolve queries, and maintain professional working relationships.
- High level of integrity, confidentiality, and accountability.
- Strong attention to detail with a high level of numerical accuracy.
Technical & System Skills
- Proficient in Microsoft Excel (intermediate level).
- Good administrative and data‑capturing skills.
- Exposure to BI dashboards and reporting tools (advantageous).
- Experience with, or willingness to learn, Microsoft Business Central.
- Perform filing, document management, and record‑keeping of utilities‑related documentation.
- Ensure all utilities information is stored accurately and in compliance with company processes.
- Assist with ad hoc utilities administration tasks as required.
