Job Summary

The Administrative Specialist? is responsible for greeting visitors, answering phones, directing inquiries and other administrative tasks as assigned. The Administrative Specialist is responsible for facilitating the smooth running of the healthcare environment and supports delivery of quality patient care.

Essential Functions

Greet guests upon arrival and direct them to appropriate personnel or departments.
Answer multi-line phones and direct calls appropriately.
Assist patients and visitors with inquiries while maintaining a professional and welcoming reception area.
Track office supplies, manage inventory, and place orders as needed.
Provide administrative support to chiefs, directors, and managers.
Managing and scheduling meetings, appointments, and calendars of chiefs, directors, and managers.
Assisting with project coordination and administrative tasks.
Preparing meeting materials, agendas, and correspondence.
Handling document organization, filing, and data entry.
Coordinating travel arrangements and logistics as needed.

Requirements:

Experience:

Minimum 2 years in Front Desk Reception and/or administrative experience.
Preferred experience in a hospital or clinic setting
Familiarity with basic office software

Education

High School Diploma and/or AA degree.
