Posting Summary
Rutgers University Camden is seeking an Administrative Assistant for the department of Enrollment Management. The Administrative Assistant will provide essential administrative support to the Office of Admissions and Enrollment Operations and serve as a backup to the Enrollment Contact Center. Reporting to the Operations Manager, this role supports a dynamic team that Graduate Admissions, Undergraduate Admissions, Enrollment Communications, Welcome Center and Visit Experience, Student Enrollment Services, Contact Center, and the Office of Military and Veteran Affairs.
In this role, the Administrative Assistant will:
Hire, train, and supervise administrative student workers.
Provide administrative support across all functional areas, thriving in a fast-paced, customer-focused environment.
Provide weekly operational support to the Enrollment Contact Center.
Manage operational responsibilities, including calendar management, submit purchase orders, inventory oversight, information dissemination, and report preparation.
Handle special projects and general communications, ensuring seamless coordination of activities.
Manage the admissions inbox and case management system.
This role requires exceptional organizational skills, a customer-focused mindset, and the ability to thrive in a fast-paced environment. The ideal candidate should have a comprehensive understanding of the university’s mission, vision, and strategic goals and apply this knowledge to their daily responsibilities.
Occasional evenings and weekends may be required to support events and operations.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
Bachelor’s degree or an equivalent combination of education and/or experience in office management, or admissions. Candidates should demonstrate strong judgment, organizational abilities, planning, coordination, time management, multitasking, and excellent communication skills.

Additional qualifications include:
A minimum of 2-3 years of relevant professional experience in an administrative or operations role.
Exceptional communication skills, both written and verbal.
Proficiency in customer service, office administration, organizational processes, coordination, and report writing principles and practices.
Advanced computer literacy, with a superior understanding of Microsoft Office Suite (Excel, Word, PowerPoint, etc.).
A valid automobile driver’s license is required.
Preferred Qualifications
Ideal candidates will be self-motivated, innovative, and capable of managing a broad range of responsibilities in a fast-paced environment. The ability to work both independently and collaboratively is essential, as is the ability to represent the university knowledgeably, articulately, and with enthusiasm in a professional manner.
Previous Experience working with students in a higher education setting is highly desirable.
Preference will be given to those with experience working in an enrollment office in a college
Experience working with underserved populations and first-generation students.
Prior knowledge of Salesforce CRM and SmartSheet.
Equipment Utilized
MS Office Suite & Teams, Smartsheet, computer competency in creating formulas, reading and evaluating spreadsheets, document processing, databases, student information systems, and other computer-based platforms, including Rutgers systems such as HCM, Cornerstone (Marketplace, Expense Management, PeopleSoft), EAB/Navigate and RUTransfer.
Salesforce Case Management and Five9 Communication systems.
Physical Demands and Work Environment
Candidate must be able to lift 30lbs and be able to sit/stand for long periods of time.
Candidate also have an Automobile drivers license
