Main duties of the job

We are looking for a dynamic and enthusiastic person with a responsible and flexible outlook to join our busy department.

You will have a professional, caring, and courteous manner, a high standard of attention to detail and a thorough understanding of how to deliver good customer service.

As out of hours administrator you will be allocated a selection of wards to support each shift, your primarily focus will be on maintaining an accurate and real time bed state to support patient flow, plus a variety of admin tasks and updating the inhouse IT systems.

You will need to be confident working as part of a multidisciplinary team within multiple busy ward-based environments as well as having ability to work unsupervised and using your initiative within role remit and managing your own workload.

Detailed Job Description And Main Responsibilities

Good IT skills and ability to be proficient using multiple in-house systems, supported by in-house training, are essential.

You will also need to be proficient with Microsoft packages, particularly Teams, Outlook, Word, and Excel.

Key Elements Of The Role Are

  • Provide pivotal admin support to allocated wards
  • Maintain a real-time bed state by updating in-house systems with all patient movements routinely throughout your shift
  • Support patient flow by updating the ePatient boards & efficiently booking transport as requested
  • Relieve Clinical staff of general administrative procedures where appropriate
  • Act as receptionist to patients and visitors and answer the phones
  • Manage patients notes during admission and following discharge
  • Ensure patients episode is recorded correctly and demographics are updated on the system

You will need to cover 2-3 evening shifts working (approx.) 15:00-21:30 and one weekend shift working (approx.) 08:00-16:00

You will be provided with a rolling 2 week working pattern

Qualifications, Knowledge And Experience

Essential criteria

  • Literacy and numeracy skills, demonstrable to GCSE- grades 9, 8, 7, 6, 5, 4 or grades A*, A, B, C (or equivalent)
  • Good keyboard skills and basic computer literacy skills
  • Experience in a busy working environment
  • Ability to work autonomously and as part of a team
  • An understanding of confidentiality issues
  • Friendly, approachable and sympathetic manner
  • Clear written and verbal communication skills

Desirable criteria

  • Previous hospital or health service experience
  • Experience of using eCaMIS
  • Office experience
  • Previous experience within a ‘customer care’ role
