As Associate Executive Assistant, you’ll be a trusted partner to senior leaders across the business , providing high-quality operational, logistical, and communication support that helps our leaders focus on what matters most. You’ll manage scheduling and projects , complexit ies with precision, maintain a high degree of professionalism, and ensure key priorities move forward with clarity and speed.

Let’s talk about Responsibilities:

Administrative Support

Skilled at managing multiple and often competing scheduling requests, ensuring clarity, reducing noise, and helping leaders focus on high-priority work.

Provide dedicated support to multiple senior leaders, managing complex calendars across time zones with precision and urgency.

Act as a proactive extension of your leaders – anticipating needs, solving issues before they escalate, and offering insight when needed.

Prepare materials, agendas, and background documentation for internal and external meetings; ensure appropriate follow-up is tracked and completed.

Assist with managing large team tasks, including overseeing communications, organizing team all-hands meetings, sending reminders, and handling other meeting and team-related responsibilities.

Build trusted relationships with internal and external stakeholders while upholding the highest standards of discretion and professionalism.

Travel, Expense & Operational Logistics

Coordinate and book travel (domestic/international), including detailed itineraries and related logistics .

Submit timely and accurate expense reports and manage approvals across internal systems.

Support logistics and documentation for department meetings, team events, and leadership engagements.

Communication & Cross-Functional Coordination

Maintain professionalism and confidentiality in all communications and interactions.

Draft, review, and manage professional correspondence and team-wide communications.

Liaise across functions to ensure seamless information sharing and maintain momentum on projects and deliverables.

Workflow Optimization & Tool Adoption

Identify low-value manual tasks that could be simplified, streamlined, or automated.

Explore tools and workflows that improve administrative efficiency and reduce complexity.

Contribute ideas to enhance scheduling, reporting, and team operations.

Partner with fellow administrative peers to share resources and promote consistency across teams.

Qualifications, Experience, and Skills:

5+ years of experience supporting multiple senior or global leaders, with proven ability to manage complex calendars, coordinate travel, and handle confidential information with discretion.

Demonstrated strength in planning and executing meetings, events, and special projects – preparing materials, capturing action items, and ensuring timely follow-through.

Highly organized and adaptable, with a track record of managing shifting priorities and fast-paced workflows while maintaining professionalism and accuracy.

Strong communicator – clear, concise, and thoughtful in both written and verbal interactions, with the ability to build trusted relationships across functions and levels.

Brings a proactive, resourceful approach – anticipating needs, solving issues early, and enabling leaders to focus on high-impact work.

Curious and solutions-oriented, with an interest in improving workflows and exploring modern administrative tools or automation to drive efficiency.

Committed to continuous improvement and operational excellence, consistently delivering reliable, high-quality support in a confidential and fast-moving environment.

Proficient in Microsoft Office Suite; familiarity with tools like Monday.com, SharePoint, or Jira is a plus.
