SUMMARY The Student Ministry Administrative Assistant serves as the initial ambassador for Student Ministries, ensuring that both the heart and operations of the ministry reflect hospitality, excellence, and intentionality. This role provides comprehensive administrative, communication, and logistical support to further the vision of the Student Ministry department and to help ensure overall effectiveness and efficiency.
Requirements:
SOME KEY RESPONSIBILITIES
Hospitality, Communication & Connection
Serve as the first point of contact for Student Ministries, providing warm and informed responses to inquiries via phone, email, and in person visits.
Field parent and student communication, maintaining consistent, timely, and supportive contact in alignment with ministry direction.
Welcome new parents into the ministry environment, connecting them to student wide and ministry specific communication platforms (e.g., Mailchimp, Clearstream).
Organize and lead volunteer teams for our Firs Time Guest Experience by ensuring students are warmly welcomed, entered into communication systems, and invited into ongoing ministry rhythms.
Administrative & Ministry Support
Provide support for all major events, retreats, and summer camps, including registration management, scholarship tracking, and volunteer coordination.
Organize and lead volunteer teams for event setup, teardown, and behind the scenes support.
Create systems and workflows that simplify and enhance Student Ministry processes.
Schedule appointments and meetings on behalf of ministry leads to assist with organization and follow up.
Place food orders and coordinate food service for weekly student gatherings and special events.
Assist in processing monthly church credit card and petty cash reconciliation.
Communications & Creative Support
Design visually appealing graphics using Canva or other software that resonate with students and support ministry branding.
Create and distribute digital newsletters via Mailchimp to inform students and parents of upcoming events, series, and opportunities.
Utilize platforms such as Clearstream to send out mass text messages for event promotion and reminders.
Volunteer Engagement & Onboarding
Recruit, train, and develop volunteers to assist with administrative and event related duties (e.g., Check in, follow up, hospitality).
Coordinate the onboarding process for new volunteers, including background checks, clearances, and orientation materials.
Calendar & Resource Management
Maintain the Student Ministry annual calendar, ensuring alignment with church wide planning and internal ministry goals.
Oversee the Student Ministry office environment and ensure office and event supply inventory is maintained and replenished as needed.
Team Culture & Engagement
Actively participate in church staff culture events, such as monthly staff chapel, team building gatherings, and the yearly staff retreat.
Understand that these moments are not optional—they are essential to building trust, collaboration, and a sense of family among our team.

Vision Execution
Partner closely with ministry leadership to bring vision to life through creative, logistical, and administrative execution.
Take ownership of communication and hospitality systems that help foster a thriving and connected student community.
Perform other duties as assigned.
QUALIFICATIONS
2+ years of related experience in a ministry setting preferred.
Able to meet deadlines while managing multiple projects.
Strong communication and computer skills.
Must be a proactive self?starter, creative problem solver, and team player.
Able to work collaboratively with other department teams to support the ministry of Southwest Church.
Understanding of confidentiality and proper care of personal information.
Knowledge of computer applications such as Canva, Word and/or Pages, Excel and/or Numbers, PowerPoint and/or Keynote, etc.
Physical requirements: Constant periods of sitting and repetitive motions. Occasionally able to lift or move up to 20 lbs and stand or walk.
