What Your Job Will Be Like
Sandia National Labs is seeking an Office Management Assistant (OMA) to support our mission by providing essential administrative assistance to the Global Security (GS) Program Management Team, providing complex, interrelated administrative support for Center 6100, specifically for Groups 6160 and 10660. As an OMA, you will play a pivotal role in ensuring the smooth operation of our office, working independently while receiving guidance on more complex tasks. Your discretion and judgment will be crucial in coordinating various executive level office management functions including frequent interactions with senior leaders both within and outside of Sandia.
On any given day, you may be called upon to:
Manage calendars, emails, and meeting arrangements for managers
Arrange teleconferences and videoconferences to enhance communication
Serve as the main point of contact for the GS External Advisory Board (EAB)
Create agendas, assembling materials for key leadership meetings, maintaining the status of action items, and supporting briefings and high-level visits
Organize celebrations, workshops, and team-building events
Project a positive, supportive, and professional image to visitors and callers, exercise discretion and judgment when handling high-level contacts and sensitive information, and rapidly adapt to changing and competing priorities
Facilitate incoming and outgoing visitor coordination
Serve as the Division expert on policies and procedures for hosting executive-level visits, guiding other members of the Division’s administrative staff and ensuring effective support for engagements.
Coordinate domestic and international travel logistics
Assist with hiring and onboarding processes
Procure office resources and supplies efficiently
Submit vouchers
Maintain filing systems and databases
Serve as the property and training coordinator for the organization
Process facility and move requests
Demonstrate knowledge of and adherence to organizational policies and procedures
Provide training and support to other Administrative Professionals as needed
Assist in hiring, onboarding, and training new Administrative Professionals
Provide backup coverage for Division 6000’s Executive Assistant (EA) and Center 6100 Senior Management Assistant (SMA)
Foster team collaboration across the Organization(s)
Track the status of the organization’s environmental health and safety self-assessments and findings
Due to the nature of the work, the selected applicant must be able to work onsite fulltime.

Salary Range
$54,400 – $87,200
Salary range is estimated, and actual salary will be determined after consideration of the selected candidate’s experience and qualifications, and application of any approved geographic salary differential.
Qualifications We Require
High school diploma or equivalent, plus three (3) or more years of directly related experience
Successfully passed the required tests, based on Sandia specified Administrative Professional testing requirement
Proficiency in Microsoft Office software to effectively perform your duties
Applicants must meet the minimum prerequisites to be scheduled for testing. Applicants should be prepared to test immediately after completing the application process. Upon successful test completion, the manager will be notified. Interviews will be scheduled for applicants who have successfully passed the test and have been identified as top candidates by the manager. Passing the test does not guarantee an interview or selection.

Ability to interact, in a professional manner, with all levels of management at Sandia as well as high level distinguished visitors.
Experience coordinating and organizing visits made by high-level external leaders.
Experience creating agendas and assembling materials for leadership meetings.
Experience creating and maintaining Confluence and/or WordPress sites.
Demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and competing priorities.
Active DOE SCI level security clearance

About Our Team
We work with a wide range of U.S. government agencies to protect critical U.S. government assets and installations, facilitate nonproliferation and arms control activities, safeguard nuclear weapons, reduce the risk of terrorist acts, prevent the misuse of nuclear, chemical, biological and radiological materials and respond to catastrophic events and emergencies. We lead GS program management, Strategy Development, and Division 6000 operations. The Global Security Strategic Futures Group (6160) holds responsibility to guide division level strategy and to implement strategic foresight activities including identification potential new business with emerging customers, threats and technologies to identify capabilities leading toward innovative solutions.

Security Clearance
Sandia is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. NNSA Requirements for MedPEDs
If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.
