Summary
Westmeadow Creamery is seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will provide customer service, digital manufacture of products in our ERP system, inventory forecasting, and managing various administrative tasks. This position requires strong communication skills, attention to detail, and the ability to multitask.
Responsibilities
Manage incoming calls and email inquiries, providing customer service to clients.
Perform clerical duties including filing, data entry, and maintaining accurate records.
Digitally manufacturing products made on site from shop floor paperwork using our ERP system.
Maintenance of part masters.
Basic facilities purchasing (such as office supplies, chemicals etc).
Work with inventory team to forecast inventory purchasing.
Review historical production or sales information to produce internal reports, and reports intended for customer presentations.
As a member of the admin team, handling confidential information with discretion is a requirement for this position.
This position may require occasional travel to other Westmeadow facilities, such as the farm in Ames NY.
This position may require occasional travel to customer meetings (up to 4 hour drive, possibly including an overnight stay) at the company’s expense 3-4 times per year.
This position may require occasional travel, including internationally to customer or vendor facilities by air travel, at the company’s expense.
Skills
Strong customer service skills with the ability to interact professionally with clients and colleagues.
Proficiency in phone systems and clerical tasks, including data entry.
Competency in Microsoft Office products, especially in Excel.
Excellent time management skills to prioritize tasks effectively.
Experience in the dairy industry is a plus but not mandatory.
Exceptional organizational skills to maintain an orderly office environment.
Ability to work independently as well as collaboratively within a team setting.
Competence in using computerized systems for various administrative functions.
Compensation
This position is hourly, starting at $18 / hour increasing upon completion of on the job training (OJT) and satisfactory performance review (expected 2 months after hire).
The work schedule is Monday – Friday, 9AM to 5:30PM with a 30 minute break for lunch around noon each day.
Expect 40-45 hours per week.
40 hours of PTO in your first year, increasing per year, accrued at a rate of 1 hour earned per 30 hours worked.
