Job Summary:

We are seeking an organized and detail-oriented Executive Admin Assistant (EAA) to join our team. The ideal candidate will have excellent communication skills, be adept at multitasking, and thrive in a fast-paced environment. The EAA will be responsible for supporting the office’s daily operations, ensuring smooth and efficient functioning of the office.

Key Responsibilities:

Administrative Support:
Manage and organize office communications, including emails, phone calls, and mail distribution.
Coordinate and schedule meetings, appointments, and travel arrangements for staff.
Assist in preparing the monthly Board report and ensure they are sent out in a timely manner each month.
Attend Board meetings to take notes and type up Board meeting minutes.
Maintain office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, and verifying receipts.
Document Management:
Prepare, organize, and store documents electronically.
Manage digital filing systems to ensure all documents are accessible and secure.
Office Management:
Oversee the maintenance of office equipment and coordinate repairs or replacements.
Ensure the office environment is clean, safe, and conducive to work.
Human Resources Support:
Assist in onboarding new employees, including setting up workspaces, providing initial orientation, and managing paperwork.
Assist with Employee terminations, including organizing the return of equipment and processing the exit.
Maintain employee records and assist with HR tasks like payroll preparation.
Financial Administration:
Assist with the annual financial and security audits.
Deposit checks.
Scan and forward documents received in the mail.
Customer Interaction:
Serve as the first point of contact for visitors and clients, providing excellent customer service.
Provide assistance to customers requesting due diligence documentation.

Qualifications:

High school diploma or equivalent; further education or certification in office management/administration is a plus.
Proven experience as an Office Administrator, Office Assistant, or similar role.
Proficient in Microsoft Office Suite or related software.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
Ability to work independently with minimal supervision and as part of a team.
Discretion with confidential information.
