Under the supervision of the Director of Aftermarket Parts & Services, the Administrative Assistant will provide support to the Home Energy Leadership and Aftermarket Parts/Services team. The role will perform standard and advanced administrative duties requiring broad experience, skill, and a thorough knowledge of the organization’s policies and procedures.
Specific Responsibilities
Assist with the coordination of calendars and event planning for both internal/external meetings and VIP events. Role will also support the planning and preparation for in-market regional channel partner education events and annual conferences.
Own and maintain both information and file structures within the business unit SharePoint sites where assigned.
Assist with the onboarding and transition process of associates as it relates to hardware setup, workstation assignment (where applicable), and scheduling of introductions across the various business leaders.
Initiates travel arrangements, requests for funds, prepares and submits expense reports, creates itineraries, handles daily inbound and outgoing correspondence.
Conduct administrative duties associated with Home Energy Learning Academy including that of inbox management, enrollments, event registrations, calendar updating, invoicing, catering, announcements, surveys, report distribution, and learning management system file maintenance.
Prepare and maintain departmental organizational charts, calendars, outlook distribution groups, PowerPoint presentations, meeting minutes, and Microsoft Teams channels where assigned.
Maintain an adequate back-up of necessary office supplies. This requires the use of a procurement card and the monthly reconciliation of the account. Also responsible for ordering other items such as business cards, office equipment, etc.
Support key initiatives or special projects as assigned.
Maintains office equipment as assigned.
Supervisory Relationships: Reports to the Director-AMPS, Home Energy
Organization Relationships: Constant contact with members of the Home Energy Leadership Team and various stakeholders
Frequent contact with other Energy Group administrative assistants
External Business Relationships: Frequent contact with channel partners and in-market training centers
Requirements
High School Diploma and 3-5 years administrative experience required.
Requires strong computer skills, flexibility, project coordination experience, excellent interpersonal skills, and ability to work well with all levels of internal and external contacts.
Must be a self-starter and work under minimal supervision.
Must pass Microsoft Office Assessments – Word (Advanced), Excel (Advanced) and PowerPoint (Intermediate).
Experience with online learning management systems preferred.
Limited travel may be required on occasion to support special events or participate in training initiatives.
Applicants must be authorized to work in the US without requiring sponsorship now or in the future.
The hourly range for this position is $19.95 – $24.95. The specific salary offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
