Administration Assistant – Shopping Centre Management

We are seeking a proactive and highly organised Administration Assistant to join a busy Shopping Centre Management team.

This is an excellent opportunity for an experienced administration professional who thrives in a fast-paced environment and enjoys working across centre operations, retailer communication, finance administration and stakeholder management.

Working closely with the Centre Management team, you will play a key role in supporting the day-to-day operations of the centre while helping deliver an exceptional experience for retailers, contractors and customers.

Key Responsibilities

  • Managing the front reception area and general office administration
  • Contractor sign in/sign out and maintaining compliance documentation
  • Coordinating retailer communications, memos and correspondence
  • Managing Public Liability Insurance and Certificate of Currency collection
  • Supporting casual mall leasing and charity bookings administration
  • Raising purchase orders and processing accounts payable invoices
  • Assisting with rent roll processes, adhoc tenant charges and recoveries
  • Maintaining accurate records within Yardi and other internal systems
  • Supporting the Operations, Retail and Centre Management teams
  • Coordinating repairs, maintenance requests and contractor onboarding
  • Collecting retailer sales figures and assisting with reporting
  • Preparing meeting minutes and maintaining office supplies
  • Providing general administrative and marketing support as required

About You

To be successful in this role, you will ideally have:

  • Previous experience within Shopping Centre Management, Commercial Property or Property Administration
  • Strong administrative and organisational skills
  • Experience managing multiple priorities in a fast-paced environment
  • Excellent communication and stakeholder management skills
  • A proactive approach with the ability to work independently
  • High attention to detail and strong problem-solving ability
  • Strong computer literacy across Microsoft Office Suite
  • Experience with Yardi or similar property systems will be highly regarded
