We are looking for a dependable Administrative Assistant to provide high-level support in a dynamic healthcare setting. This long-term contract opportunity is ideal for someone who thrives in a role that blends office coordination, executive support, and occasional personal assistance while keeping day-to-day operations running smoothly. The position calls for strong organization, sound judgment, and the ability to adapt quickly as priorities shift in a fast-moving environment.

Responsibilities:
• Coordinate calendars, appointments, and meeting schedules while sending reminders and ensuring follow-up items are completed.
• Serve as a primary point of contact for inbound calls, messages, and routine correspondence, directing requests appropriately and responding with careful attention to detail.
• Arrange travel plans, including transportation, lodging, and itinerary details, to support business-related activities and events.
• Maintain organized trackers, checklists, and administrative systems that improve visibility into deadlines, tasks, and ongoing priorities.
• Support communication with external vendors and partners, helping keep relationships and service needs well managed.
• Prepare materials and logistical details for meetings, presentations, and speaking engagements.
• Monitor office or operational supply levels and provide timely reminders for replenishment as needed.
• Assist with occasional personal errands and special coordination tasks to support executive efficiency.
• At least 2 years of experience in an administrative, executive support, personal assistant, or operations-focused role.
• Demonstrated ability to manage complex scheduling and coordinate multiple appointments with accuracy.
• Strong verbal and written communication skills, including professionalism in phone-based interactions.
• Proficiency with Google Calendar, Slack, Microsoft Office, and common virtual communication platforms.
• Excellent organizational skills with a consistent track record of follow-through and attention to detail.
• Ability to work independently, handle changing priorities, and remain effective in a fast-paced environment.
• Previous experience supporting an executive, founder, physician, or similarly senior stakeholder is preferred.
• Exposure to healthcare or startup environments, as well as experience building procedures or workflow documentation, is a plus.
