Under the supervision of the Director of Children & Youth Services, the Administrative Program Assistant is responsible for handling the following duties:
WORK PERFORMED
Administrative Office support including typing, filing and preparation of mailings. Operation and troubleshooting of office machines and equipment. Responsible for ordering, stocking and quality control of office supplies. Provide clerical assistance to administrative staff. Receptionist tasks. Help promote The Arc’s mission of inclusion.
Maintain current tuition records for each child. Collect and provide receipt for tuition payments. Provide status of payment as required. Complete and submit paperwork for third party payments (vouchers).
Provide financial support by preparing vouchers for reimbursement and submit invoices to Accounts Payable for processing. Monitor accounts payable and follow up with Finance Department if needed. Responsible for submitting petty cash receipts to Finance Department. Keep records to monitor all program budgets for correct expense allocation. Coordinate the MSDE’s Special Milk Program for the division by submitting accountability procedures annually and providing monthly claims for reimbursement.
Provide family support by contacting parents regarding short notice of the center closing for emergencies and receiving incoming phone calls and redirecting them to appropriate staff.
Provide new enrollment support by preparing intake packets for tours and enrollment packets for new families. Preparing new tuition contracts and submitting to the finance department.
Provide staff support by helping classrooms when needed. Ordering items needed for daily care, such as gloves, soap and changing table paper.
Maintain children’s records. Check to assure all required documents are received, filed, and kept current. Help to check for accuracy and completeness with respect to childcare regulations.
Provide Administrative support with the hiring process; schedule candidates for interviews, meet with new staff to help complete the hiring packet and schedule/confirm the agency orientation. Maintain staff records. Complete Employee Change Notices (ECN) when needed. Help to check for accuracy and completeness with respect to childcare regulations.
Assist with the center Accreditation process as indicted by Administration.
Facilities Manager and contact person for building maintenance. Order cleaning and other supplies as needed for the facility.
Qualifications
High school diploma or GED equivalency plus three years of relevant experience or Associate degree in related field plus one year of relevant experience. 30 relevant credit hours may be substituted for one year of experience.
$19.51 / hour – $20.50 / hour depending on education and experience.
