We are hiring for 2 Administrative Assistant 3 positions for the Energy Programs in Communities (EPIC) and Buildings units within the Energy Division.

The Energy Division (Energy) partners with diverse energy stakeholders to create a clean, affordable, and equitable energy future.

These positions provide support to their respective units (Energy Programs in Communities or Buildings) within the Energy Division on administrative matters, functions and policies, and day-to-day operations. In addition, these positions support the Energy Division, working with internal staff and external stakeholders including state agencies, local government, tribal affiliates, non-profit entities in addition to federal and state program and policy staff. These positions are grounded in a culture of creativity, collaboration, and self-motivation.

Duties

Coordinates the daily activities of the Managing Director (MD) and the Assistant Managing Director (AMD) with other internal and external calendars, based on unit and division priorities.

Develops and maintains unit standards and procedures to ensure adherence to agency policies and division guidelines regarding budgeting, personnel actions, and contract administration.

Serves as a liaison between the MD, the AMD, and other staff members, transmitting assignments, ensuring deadlines are met, and reviewing for appropriateness and consistency with agency policy.

Coordinates arrangements for meetings and conferences, such as facility planning; travel arrangements for program staff, contractors, and division administration on official state business; and payment of fees and preparation of materials.

Coordinates scheduling, logistics, agendas, and note-taking for unit meetings.

Exercises political judgment and works cooperatively with diverse staff and stakeholders while acting as a designated representative of the Unit and the agency at meetings and in office correspondence.

Facilitates information sharing and collaboration within the Unit and with other units and organizations.

Reviews and informs staff of new and updated policies or procedures.

Tracks all unit documents routed for signatures.

Exercises delegated authority to assign, instruct and check the work of all professional staff in the unit.

Coordinate all personnel actions for the unit, including recruitment, selection, interview, appointments, promotions, and on-boarding of new employees.

Ensures position description forms, work schedules, telework agreements, and performance evaluations are kept current for the unit.

Exercises delegated signature authority for correspondence, purchasing, travel vouchers, invoices, and timesheets when needed.
