The Executive Assistant position provides dedicated administrative and personal support to the owner of Flanagan Bilton LLC, ensuring seamless management of professional and private affairs. This role focuses on optimizing time, maintaining confidentiality, and handling logistics to enable efficient workflow and lifestyle management. Candidates should be organized, motivated, self-starters who can multitask, work well with others, communicate with co-workers and clients by telephone, e-mail, and letter, and be professional.

Duties and Responsibilities:

Administrative Support: Manage schedules, appointments, travel arrangements, and correspondence (emails, calls, letters).
Calendar Management: Coordinate meetings, reminders, and deadlines to ensure optimal time management.
Travel Coordination: Book flights, hotels, transportation, and prepare itineraries.
Communication Handling: Serve as a liaison between the executive and internal/external stakeholders.
Document Preparation: Draft reports, presentations, and other business documents.
Personal Errands: Assist with personal tasks such as shopping, event planning, or household management.
Confidentiality: Handle sensitive information with discretion and professionalism.
Task Prioritization: Proactively manage and prioritize tasks to ensure efficiency.
Special Projects: Assist with ad-hoc projects and research as needed.

Desired Skills:

Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and scheduling tools.
Ability to multitask and work under pressure with minimal supervision.
High level of discretion and professionalism.
Bachelor’s degree in Business Administration or related field preferred.

Compensation and Benefits:

Starting Salary: $50,000 annually.
120 hours of PTO after a 90-day probation period (unused hours are forfeited annually).
Typically, 17+ paid holidays per year.
Employer-paid medical, dental, vision, and basic life insurance premiums for the employee.
3% employer 401k contribution after two years of employment.
Business casual dress code, with exceptions based on assigned tasks.
Team-oriented work environment.
Annual performance reviews.
