About the Role

We are seeking an experienced Legal Administrative Assistant to provide high-level administrative and secretarial support to multiple attorneys in a fast-paced legal environment. Working as part of a collaborative administrative team, you will coordinate schedules, manage legal documentation, arrange travel, assist with billing, and ensure the efficient day-to-day operation of attorney practices.

This hybrid position offers the opportunity to support a globally recognized law firm while working closely with legal professionals on a variety of administrative and client service functions.

Key Responsibilities

  • Provide high-level administrative support to multiple attorneys.
  • Coordinate client meetings, conference rooms, audiovisual equipment, and catering arrangements.
  • Manage complex attorney calendars using Microsoft Outlook.
  • Arrange domestic and international travel and prepare detailed travel itineraries.
  • Process travel expense reports and reimbursements.
  • Draft, format, proofread, and edit legal documents, correspondence, reports, and presentations.
  • Manage legal documents and matter files using the iManage document management system.
  • Maintain attorney billing time entries and coordinate with the accounting department for billing submissions.
  • Assist with document organization, filing, and administrative recordkeeping.
  • Maintain confidentiality while handling sensitive legal and client information.
  • Collaborate with attorneys and administrative staff to support daily legal operations.

Required Qualifications

  • Previous administrative or secretarial experience in a law firm or legal environment.
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Ability to maintain strict confidentiality.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience managing calendars, travel arrangements, and legal documentation.
  • Ability to work effectively in a fast-paced, deadline-driven environment.

Preferred Qualifications

  • College degree or equivalent higher education.
  • Experience using iManage document management software.
  • Familiarity with legal billing and time-entry systems.
  • Experience supporting multiple attorneys simultaneously.
  • Knowledge of legal office procedures and document management best practices.
