Position Overview

The Illinois Department of Veterans Affairs is seeking to hire an Administrative Assistant. This position will be under general direction of the Field Services Manager. This position will provide administrative support to the regions, Claims Management Center, and Field Training Coordinator at the direction of the Field Services Manager. They will be responsible for conducting research, gathering information, and performing special projects and studies (independently) for the Manager, which may be complex and confidential in nature. Job Responsibilities

30% Functions as a staff assistant under administrative direction of the Field Services Manager

25% Conducts research, gathers information, and performs special projects and studies (independently) for the Manager, which may be complex and confidential in nature.

20% Coordinates office meetings, establishes agendas and ensures materials are gathered, compiled and ready for distribution at specific meetings.

10% Assists with special events, to include but not limited to, State Fair, Job Fairs, ceremonial and recognition, and public awareness activities in support of the Department of Veterans’ Affairs mission

10% Provides administrative support to the regions, Claims Management Center, and Field Training Coordinator at the direction of the Field Services Manager

5% Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

Minimum Qualifications

Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferablywith courses in public or business administration.

Requires one (1) year of professional experience in a public or private organization, or completion of an agencyapproved professional management training program.

Preferred Qualifications (In Order of Significance)

One (1) year of professional experience efficiently tracking status and completion of assignments across the office to ensure those tasks are fully completed within designated time frames, using organizational tools such as Excel.
