POSITION OVERVIEW
At Educators Thriving, the Executive Assistant will play a pivotal role in enhancing the effectiveness of our CEO and supporting the broader team. This position is ideal for someone who thrives in a dynamic environment, excels at managing details, and loves creating seamless operations. As a strategic partner to the CEO, the Executive Assistant will help focus the CEO’s time and energy on high-impact priorities while also contributing to the organization’s operational excellence. This role combines administrative precision with opportunities to support sales, events, and relationship management, all in service of advancing our mission to improve educator well-being.
Key Responsibilities
Strategic Time Management: Optimize the CEO’s schedule to align with organizational priorities, analyze time usage for efficiency, and proactively identify opportunities to delegate or streamline tasks.
Calendar & Email Management: Coordinate meetings, anticipate scheduling conflicts, draft and manage email communications, and ensure follow-ups are timely and effective.
Administrative Support: Ensure smooth operations by managing partner paperwork, liaising with external vendors, and supporting day-to-day administrative tasks.
Sales & Partnership Support: Assist with conference planning, lead generation, proposal development, and Zoho CRM updates to accelerate growth and strengthen partnerships.
Operations & Event Coordination: Manage logistics for internal and external events, ensuring seamless execution of professional learning sessions, conferences, and retreats.
Travel & Logistics: Plan and book travel arrangements, track business-related travel expenses, and ensure travel plans are efficient and well-coordinated.
Relationship Stewardship: Create moments of delight for partners and team members through thoughtful gestures, appreciation, and personalized touches that reflect our core value of Forging Connections.
QUALIFICATIONS
Must-Have
Track Record of Success: A proven history of delivering outstanding outcomes in professional environments, evidenced by successfully supporting high-impact projects, meeting ambitious goals, and adding value to organizational priorities.
Exceptional Organization and Detail Orientation: Proven ability to manage complex schedules, tasks, and projects with a high degree of accuracy and attention to detail.
Strong Communication Skills: Ability to convey information with clarity and warmth through concise, well-structured written and verbal communication.
Proactive Problem-Solving Skills: A self-starter mindset with the ability to take initiative, think critically, and drive projects forward with minimal oversight following alignment on outcomes.
Tech-Savvy: Strong proficiency in productivity tools such as Google Workspace, CRM software (Zoho preferred), and virtual meeting platforms (e.g. Zoom)
Preferred
Executive Assistant Experience: Previous experience as an Executive Assistant or in a similar high-level administrative role, ideally supporting a C-level executive.
Project Management Skills: Experience managing projects from inception to completion, ensuring timely delivery of objectives.
Event Planning Experience: Demonstrated ability to coordinate and manage logistics for events such as retreats, professional development experiences, or conferences.
Educational Background: Experience as an educator or working within educational organizations.
Experience with CRM Software: Familiarity with Customer Relationship Management systems for tracking and managing organizational interactions.

AVAILABILITY AND LOCATION
This is a remote position, and we welcome applications from candidates anywhere. Availability during core Pacific Time business hours is important to ensure smooth collaboration with the CEO of Educators Thriving, who is based in the Bay Area in California. Although this role is fully remote, occasional travel will be required for team retreats, conferences, and other work-related events throughout the year.
COMPENSATION
This role offers a $75,000 – $90,000 salary plus eligibility for performance-based bonuses tied to organizational success.
