Description:

The Administrative Assistant position provides high-level administrative support to the CEO and additional responsibilities for the Corporate Office.

Essential Job Functions:

Includes, but is not limited to, the job specifications contained herein. Additional duties or job functions may be required as deemed necessary by management personnel to contribute to the team effort by accomplishing related results as needed.

Conduct research, prepare reports, and handle information requests

Type reports, memos, letters and other documents

Read and analyze incoming submissions and reports to determine their significance and plan their execution

Execute project contracts by preparing for signatures, gathering information and forwarding to appropriate departments, attached required documentation and returning to client. Maintaining contract database

Manage and coordinate IT requests and functions

Issue certificates of insurance to clients

Maintain fleet tags, titles and renewals

Bid Tracking

Order corporate supplies

Approve invoices as applicable

Prepare vendor forms

Perform clerical functions such as prepare correspondence, arrange conference calls, and schedule meetings and travel

Perform filing, scanning and other administrative duties as required

Contribute to team effort by accomplishing related results as needed

Full-time position, Monday through Friday, 8:00 a.m. to 5 p.m.

Assist CEO with all tasks.

Desired Qualifications:

4 to 5 years of Administrative Experience

Customer Service personality

High School Diploma (or equivalent)

Requirements:

Excellent computer skills and high-level data entry skills. Experience with Microsoft Office

Extreme attention to detail & organized

Confidentiality and Thoroughness

Strong communication and problem-solving skills

Ability to develop & maintain positive relationships with internal & external customers

Ability to meet multiple deadlines, multi-task and prioritize in a fast-paced environment

Highly organized and extreme attention to detail

Customer Service Attitude

Ability to work well both independently and in a team environment

Occasional lifting up to ten lbs.

Ability to work in a climate-controlled office environment

Vision adequate (including corrected vision) to perform essential job functions

Hearing (including corrected hearing) adequate to understand verbal information and maintain conversations for an hour or more over a telephone in order to perform essential job functions.

Ability to read and write in English in order to process paperwork and communicate with clients and internal customers

Must be able to sit or stand for extended periods of time

Must have manual dexterity required for repetitive motions that may include the wrists, hands and/or fingers. Extended use of a computer, keypad or phone
