I. Job responsibilities

1. Workplace operations management

Responsible for the daily maintenance of the North American site work site, including Facility Management, space planning, environmental optimization and security compliance checks, to ensure a comfortable and efficient working environment.

Coordinate with external service providers such as property management, cleaning, IT, etc. to handle unexpected issues (such as equipment failures, venue rental affairs, etc.).

Support customer visits (reception, venue arrangement, assistance with customer ordering and transportation)

2. Travel and logistical support

Coordinate employee travel arrangements in North America, including flight reservations, hotel accommodations, transportation connections, and expense reimbursement audits, optimize travel processes, and control costs.

3. Asset and material management

Establish the Fixed Assets ledger of the branch company, conduct regular inventory checks to ensure the safety and rational use of assets; manage the procurement, inventory, and distribution of work supplies.

4. Procurement execution assistance

Cooperate with Chinese headquarters Procurement to screen suppliers, negotiate prices, and follow up on order delivery locally in North America to ensure that procurement tasks are completed on time.

Organize local supplier information, provide feedback on market price information, and provide data support for headquarters decision-making.

5. Implementation and operation of workplace activities

Cooperate with HR to implement internal activities, organize employees to participate and carry out corresponding operations

Support internal and external venue coordination and preparation (including sourcing and procurement of external event suppliers).

6 . XFN Flexible Support

Mobility assists other departments in handling non-technical matters.

Actively identify the needs of various departments, provide efficient administrative support, and ensure the smooth operation of business.

II. Job requirements

1. Work experience

2-3 years of administrative, operational, or general support work experience in North America, familiar with the local workplace environment and administrative processes (such as US compliance policies, supplier management, travel system operation, etc.).

2. Culture and compliance

Understanding US culture and workplace habits, being familiar with local laws and regulations, can avoid cultural conflicts and ensure compliance.

Possessing cross-cultural sensitivity, skilled in efficient communication and coordination between Chinese and American teams.

3. Core competencies

Language proficiency: Fluent in both written and spoken Chinese and English, able to handle documents, emails, and communicate in meetings as a working language.

Communication and Collaboration: Strong XFN communication skills, good at listening to needs and promoting problem-solving; possesses teamwork spirit and can actively support others.

Multitasking: Adapts to fast-paced and highly flexible work modes, can simultaneously handle multi-threaded tasks such as administration, procurement, and XFN support, with strong stress resistance.

Details and Execution: Pay attention to details, possess excellent planning and execution abilities, able to independently complete asset inventory, expense review, procurement follow-up and other tasks.
