Executive Assistant to the CEO
This position reports to the CEO. The role is responsible for providing general and administrative support to the CEO and other members of the senior staff. The Executive Assistant is hands-on, providing day-to-day executive administrative support and office management.

Essential Functions:
Research and prepare materials, briefings, talking points, presentations, and proposals on various matters for internal and external audiences.
Assist CEO and senior leadership in preparing Board and Board committee agendas and materials, taking minutes, and tracking Board action items.
Prepare Board meeting materials, staff meetings, and take notes; ensure follow-up for various meetings including staff, Board, Advisory, or other meetings.
Independently compose correspondence on a variety of subjects for the CEO requiring judgment, originality, and knowledge of issues involved, including thank you notes, acknowledgements, inquiry emails, policymaker follow-ups, etc.
Coordinate the CEO’s schedule, travel, meeting preparation, expense reports, and other projects as needed.
Document and prepare periodic reports on CEO’s speaking engagements and related meetings.
Assist with organizing visits from national and local partners and funders, including preparing materials, managing attendees, and coordinating meeting preparation.
Monitor, maintain, and stock break room food and beverages, office equipment and supplies.
Oversee special projects assigned by the CEO.
Perform other tasks and duties as assigned by the CEO.
Minimum Qualifications:
Bachelor’s degree in Business, Administration, Finance, a related field or equivalent experience.
Two (2) years of executive administrative support experience required; five (5) years preferred. Equivalent education and experience may be considered.
Preferred Qualifications:
Effective writing and research skills, including gathering, synthesizing, and conveying information.
Tactful communication and attentive listening skills.
Ability to handle a wide range of topics, including confidential and sensitive information.
Capable of building and maintaining effective working relationships internally and externally.
Strong problem-solving and organizational skills; problem-solving and proactively anticipating requirements and potential problems.
Ability to multitask and remain flexible in managing multiple high-priority activities requiring considerable coordination and follow-through to meet requirements.
Experience contributing to cultivating a welcoming, inclusive, and equitable workplace.
Ability to act as a self-starter, able to work independently and collaboratively.
Experience in Microsoft 365 (PowerPoint, Word, Excel, Outlook) and Salesforce (or other CRM applications).
Working Environment:
This is a full-time, on-site position with regular office hours (Monday-Friday).
Activities will primarily take place in an office environment, with occasional lifting (up to 20 pounds) and standing for extended periods.
Occasional travel may be required, and the ability to drive and maintain a valid driver’s license is necessary.
Must be able to work effectively in a dynamic and fast-paced environment.
