Job Description:
Salary Range: $55,000 – $66,100 per year
The School of Civic and Economic Thought and Leadership is looking for a highly motivated and dynamic individual to work with the Director, faculty, and staff to continue developing this school as an innovative and respected academic program. This position will report to and work closely with the Director and the Associate Director to provide high-level administrative support. As the school continues to grow, it needs a team player who also enjoys exercising independent initiative. The Assistant to Director is a crucial link between the School, university, and broader public in helping the School leadership achieve our academic and civic missions.
Essential Duties:
Manages Director’s calendar
Coordinates and arranges the Director’s domestic and international travel, including submitting expense reports through the ASU travel system.
Screens and refers telephone inquiries from the university community and the public, providing problem resolution and resource referrals on behalf of the Director.
Serves as a liaison to various administrative offices, including the College Dean’s Office, Provost, President, and external constituents.
Coordinates and plans executive meetings and department specific events, such as faculty workshops, convocation, and special events.
Compiles, prepares, and maintains agendas and background materials for meetings and events, tracking follow-ups as needed.
Monitors program emails and responds to school inquiries.
Independently drafts correspondence on various subjects requiring judgment, originality, and familiarity with institutional matters.
Manages and coordinates all academic personnel actions for the School, including faculty promotion and tenure, sabbatical requests, probationary faculty and academic professional evaluations, and conditional contract reviews.
Serves as the unit contact/administrator for the Academic Personnel Actions Reporting System (APARS), including Curriculum Vitae Builder, Annual Activity Reporting (ASU Vita), and Review, Promotion, and Tenure (RPT).
Attends required recruitment training and academic personnel meetings.
Coordinates all faculty hiring processes, including preparing documentation for search committees, securing approvals from the Dean’s office, and arranging candidate travel.
Provides administrative support for faculty searches by attending meetings, creating itineraries, facilitating committee collaboration, handling communications, booking venues and accommodations, and managing logistical details.
Coordinates special assignments and projects as requested by the Director.
Desired Qualifications:
Bachelor’s degree in a related field AND four (4) years experience in an administrative position preferred
Experience supporting a high-level administrator in higher education, including calendaring, scheduling, and adapting to new initiatives.
Strong organizational skills, attention to detail, and ability to manage multiple high-priority projects in a fast-paced environment.
Effective verbal and written communication skills.
Ability to anticipate and resolve administrative challenges.
Experience planning and executing events, workshops, and meetings.
Proven ability to maintain effective working relationships in a diverse environment.
Knowledge of academic policies, procedures, and program administration in higher Education.
Proficiency in Microsoft Office, Project management and other relevant software.
Experience handling confidential and sensitive information.
Strong analytical skills with the ability to comprehend complex issues.
Experience coordinating national and international travel.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
Stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular activities require ability to quickly change priorities.
Communicate verbally and in writing to perform essential functions.
Regular use of standard office equipment including but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
Receives regular review of performance for achievement of established objectives.
8AM to 5PM, Monday through Friday work schedule. Some remote work available following probationary period.
Minimum Qualifications:
High School Diploma and two-years (2) experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
