Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our office. This role is ideal for someone who thrives in a fast-paced environment and takes pride in providing outstanding administrative and accounting support.

Key Responsibilities

Ensure smooth office operations through effective administrative support
Answer and direct phone calls; take messages and respond to inquiries
Greet and assist visitors with professionalism and warmth
Manage calendars, appointments, and schedules
Maintain both electronic and physical filing systems
Perform data entry and regularly update databases
Order and monitor office supply inventory
Assist with basic accounting tasks, including invoicing, payment tracking, and expense reporting
Support payroll processing and financial record keeping
Provide assistance on special projects as assigned

Requirements

Proven experience as an administrative assistant or in a similar role
Experience with basic accounting tasks such as invoicing, accounts payable/receivable, and expense tracking
Familiarity with office management systems and procedures
Proficiency in MS Office Suite (Word, Excel, PowerPoint); accounting software knowledge is a plus
Excellent written and verbal communication skills
Strong organizational and multitasking abilities
High attention to detail and problem-solving skills
Ability to handle confidential information with discretion
Professional appearance and demeanor
Knowledge of phone systems and phone etiquette is a plus

Job Type: Full-time

Pay: $18.00 – $22.00 per hour

Expected hours: 30 – 40 per week
