Description of Work

The primary purpose of this position is to provide administrative support for the Division Director, Section Administrators, and the Administrative Officer II positions. Position is directly responsible for coordination of office support functions necessary for the effective management of the division. Specific duties include scheduling and coordination of Division Director’s calendar, reviewing all incoming mail and assisting with timely and effective responses, and arranging travel for the director. The position also serves as the building coordinator for the Old Health Building and as such develops and submits work requests for repairs. Position is responsible for maintaining key or other access, including the issuance of keys. Position sends out invoices and collects fees for the North Carolina Boll Weevil Foundation. Position coordinates with State Surplus, to surplus unused office items. The work is performed in an open area office setting, and the employee will not be required to stand or walk for long periods of time, nor lift loads more than 10 lbs.  The employee will be under stress to answer the telephone to communicate with the public and assist callers with their questions or direct them to the correct Plant Industry staff member.   Click Here to Learn more about State Employee Benefits. The N.C. Knowledge, Skills and Abilities / Competencies

Proficient with Microsoft Office applications including: Word, Excel, Access and PowerPoint.Experience with data entry.Experience with processing checks and money orders.Experience with calendar management (Outlook) and preparing travel arrangements.Experience in Administrative, Office Manager, or Secretarial RolesAbility to process incoming and outgoing mail.Ability to use a multi-line phone system.Ability to provide efficiency, accuracy, attention to detail and flexibility.Ability to provide excellent customer service.Ability to communicate both orally and in written form with the public.MANAGEMENT PREFERENCES:Two years of related administrative experience.

Minimum Education and Experience Requirements

You may qualify by an equivalent combination of education and experience, either through years of education or years of directly related experience, or a combination of both.High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
