Job Summary: The Church Business Administrator is a key leadership position responsible for overseeing the church’s daily operations and business functions to support its mission and ministries. This role ensures organizational effectiveness through strategic alignment with congregational goals, financial stewardship, and operational excellence. The Administrator works closely and collaboratively with church leadership (Strategic Planning Council), staff, and volunteers to cultivate an environment of trust, accountability, and spiritual vitality.
Essential Functions:
Operational Leadership & Office Management
● Leverage a broad knowledge of organizational operational knowledge, identifying areas that need improvement and utilize technology to improve efficiency and productivity
● Develop and maintain systems and processes that are scalable as the church grows
● Manage all church-wide administrative systems.
● Create and maintain up-to-date policies in partnership with church leadership.
● Lead day-to-day office operations, equipment, and supply inventory.
● Manage the church calendar and scheduling systems, ensuring effective coordination of events and space use.
● Maintain church-wide documentation including records, archives, and key operational data, identifying opportunities for increased efficiency.
Personnel and Volunteer Management
● Supervise administrative and support staff (Custodian and Worship Tech Specialist), including staff onboarding, offboarding, and performance support in collaboration with the Personnel Committee.
● Clearly and consistently communicate, both verbally and in writing, to volunteers, church leadership, or external constituents on important church policies, and operational and/or facilities issues, as needed, in ways that maintain positive relationships.
● Maintain compliance with abuse prevention training and background checks for staff and volunteers.
Facilities and Safety Oversight
● Oversee the maintenance, safety, insurance, and security of church buildings, furnishings, and grounds.
● Coordinate with custodial staff and lay leadership to manage facility use and special events.
● Advise and support the Strategic Planning Council’s Facilities Director, and other lay leaders, on long-term infrastructure planning.
Financial and Business Administration
● Assist in budget development, financial tracking, and reporting in collaboration with finance teams.
● Monitor vendor contracts, service agreements, and business policies; identify opportunities for better service partnerships.
● Support stewardship initiatives and resource planning aligned with the church’s vision.
● Identify opportunities for new external partnerships within the facility and develop multiple streams of income.
● Maintain all staff records and job descriptions.
Communications and Technology
● Manage internal and external communications including eNews, website updates, and social media presence.
● Oversee multimedia content development for worship, outreach, and programming.
● Coordinate production and distribution of digital and printed materials.
● Leverage technology to automate processes to improve efficiency (ie. data collection, storage).
Other Responsibilities
● Attend regular staff meetings and retreats.
● Participate in strategic planning and leadership development efforts as needed.
● Provide administrative support for clergy and ministry teams.
Minimum Qualifications:
● A bachelor’s degree in business administration, nonprofit management, or a related field is preferred. Candidates with a combination of some education and significant professional experience will also be considered.
● Demonstrated leadership in operations or administrative roles, preferably in church or nonprofit settings.
● Strong organizational and communication skills, both verbal and written.
● Experience supervising staff or volunteers and managing projects to completion.
● Proficiency in Microsoft Office, QuickBooks, and general IT applications.

Additional Position Requirements:
● Prolonged periods sitting at a desk and working on a computer.
● Regular telephone and virtual communications.
● Must be able to lift up to 20 pounds at times.
● Regular “in person” attendance including ability to access reliable transportation to and from the workplace.
● Must pass an employee background check.
