Emtec Facility Services is a leading provider of facility management solutions, ensuring seamless operation for our clients through expert installations, planned preventative maintenance, and 24/7 reactive support.

We are looking for a proactive and detail-oriented Administrator to join our team at our Uddingston HQ. This is a fast-paced role where you’ll support the delivery of essential services across our client portfolio.

This is an office-based role Hours: Monday to Thursday 8:00am – 4:30pm and Friday 8:00am – 3:30pm

Key Responsibilities

Produce maintenance reports and manage compliance documentation

Schedule and coordinate new and existing maintenance contracts

Update client portals, ensuring all documentation is accessible and up to date

Liaise with managers, engineers, sub-contractors, and clients throughout the contract lifecycle

Maintain internal data systems and financial records

Monitor financial reports to ensure timely billing and process credit/re-bill requests

Handle all sales invoicing, including monthly composite billing

What We’re Looking For

Previous experience in an administrative role within a fast-paced environment

Strong communication skills with the ability to prioritise tasks effectively

Confident using Microsoft Office and internal systems

A proactive approach to building and maintaining client relationships

Problem-solving skills and attention to detail

Ability to work independently and as part of a team
