The Role

We are looking for a detail-oriented and proactive Business Administration Coordinator to join our team on a permanent basis. This is a cross-functional role supporting three business entities (Romania, Bulgaria, and the US), and you will work closely with leadership, external accountants, suppliers, and partner organisations to keep our operations running smoothly.

This is not a traditional admin role. You will be working in a fully digital environment, using AI tools, cloud-based platforms, and modern CRM systems every day. Full training will be provided on our internal tools and AI workflows.

Key Responsibilities:

  • Prepare and organise month-end documentation packages for external accountants, including invoices, expense reports, and timesheets
  • Draft and manage business contracts and related documentation
  • Maintain and update records in our internal CRM system, ensuring data accuracy and completeness at all times
  • Communicate professionally with administrative and finance contacts at supplier and partner organisations
  • Manage data and documentation across external digital portals, including SAP and similar platforms
  • Support day-to-day administrative tasks including processing payments, managing paperwork, and coordinating with internal stakeholders across three entities

What We're Looking For

  • Proven experience in a business administration, office management, or operations coordination role
  • Strong command of written and spoken English at a professional business level you will communicate regularly with English-speaking contacts internationally
  • A solid working understanding of basic accounting principles (invoicing, expenses, reconciliation)
  • Hands-on experience maintaining data in a CRM system you are comfortable working with structured data and know why accuracy matters
  • Experience working with digital business portals such as SAP or similar ERP/procurement platforms is a plus
  • Exceptionally high attention to detail you catch errors others miss and take pride in clean, accurate work
  • A tech-savvy mindset you are comfortable adopting new tools quickly and are open to integrating AI into your daily workflows
  • Ability to manage multiple priorities across different business entities without dropping the ball
