The Executive Office administrative assistant provides high-level administrative support for the president, vice presidents, chief of staff, and executive office coordinator of BYU-Pathway Worldwide as well as works with the Executive leadership of the organization to perform special assignments as directed. The primary functions of these assignments have wide implications. The position requires coordination with others both within and outside of the organization, knowledge of general office procedures, and a demonstrated ability to perform standard office tasks. In addition to understanding BYU-Pathway Worldwide, the assistant must have an understanding of the organization of the Church, BYU-Idaho, and the Church Educational System.

The executive office administrative assistant is expected to keep up with the quick pace of the office in a professional environment and with regularly changing schedules. Being teachable, perceptive, and proficient at learning is required to effectively manage the competing demands and priorities associated with this position. The administrative assistant position is one of high visibility and often includes working with documents and information that are confidential, sensitive, and of high importance to BYU-Pathway Worldwide.

The Executive Office administrative assistant is critical in supporting the BYU-Pathway Worldwide senior leadership as they strive to fulfill the institution’s mission to develop disciples of Jesus Christ throughout the world who are leaders in their homes, the Church, and their communities. The administrative assistant must represent senior leaders and the organization in a manner that demonstrates knowledge and understanding of the BYU-Pathway Worldwide Defining Characteristics, allowing senior leaders to focus their time and energy on strategic priorities and goals.

Important: A bachelor’s degree and 5+ years of experience are required. The standard work schedule is Monday through Friday, 8:00 AM – 5:00 PM. An adjustment in core business hours may occasionally be required.

By applying for this position, you confirm that you are legally authorized to work in the United States without sponsorship, willing to reside and work full-time in Utah, and able to commute to the BYU-Pathway Worldwide headquarters in Salt Lake City, Utah.

Primary support of between 1-3 executives (members of PEG) in managing calendar, scheduling meetings, agenda prep, and taking notes at meetings, travel coordination, expense reconciliation, and day-to-day operations.
Work closely and under the direction of the Executive Office Administrator in support of the executive office.
Interface with departments at Church Headquarters, Church units, CES, and outside agencies.
Draft and edit high-profile and professional correspondence, presentations, reports, manuscripts, speeches, etc., often relating to confidential, sensitive, and important institutional matters.
Maintain a professional public image for BYU-Pathway Worldwide.
Complete special projects including (but not limited to): performing research and data analysis, gathering information for presentations, relaying assignments, and report editing and writing.
Perform routine office duties such as typing, filing, ordering, entering data, running errands, and coordinating and supporting special executive-level events.
Manage student workers’ schedules, supervise their daily receptionist duties, and train as needed.
Receive, screen, and place phone calls; refer/redirect people to appropriate individuals.

Education and Experience:

Bachelor’s Degree and 5+ years related experience
