Responsibilities
Order Processing & Coordination
- Assist in processing customer orders accurately and in a timely manner
- Verify order details (SKU, quantity, delivery details) before submission
- Coordinate with customer and sales team to ensure correct order fulfillment
Data Management & Accuracy
- Maintain and update customer records in the CRM system
- Ensure all entries (orders, pricing, customer details) are accurate and complete
- Perform basic data checks to minimize errors and discrepancies
- with import export and customer knowledge as the requirement
Import & Export Coordination
- Manage and coordinate import and export documentation and processes related to customer orders
- Ensure shipping documents, permits, and customs requirements are properly prepared and compliant
- Coordinate with forwarding agents, logistics providers, and relevant authorities for shipment arrangements
- Monitor shipment schedules and ensure timely delivery to customers
- Resolve issues related to customs clearance, shipping delays, and logistics coordination
Communication & Follow-ups
- Respond promptly to internal queries (sales team, CRM team, operations)
- Support follow-ups on order status, delivery timelines, and issue resolution
- Escalate discrepancies or urgent issues to the reporting manager in a timely manner
Administrative Support
· Prepare simple reports (order status, delivery tracking, error logs)
· Maintain proper documentation and filing for CRM activities
· Support ad-hoc tasks assigned by the CRM team
Requirements
- Currently pursuing or recently completed a diploma/degree in Business, Marketing, Supply Chain, or related field
- Strong attention to detail and accuracy
- Good communication and responsiveness (email, messaging, coordination)
- Basic proficiency in Microsoft Excel and/or Google Sheets
- Ability to manage multiple tasks and meet deadlines
- Fluent in English and Bahasa Malaysia; additional languages are an added advantage
