We’re looking for an Executive Administrative Assistant to support the General Manager, and Board of Directors who are responsible for operations and US Securities and Exchange Commission compliance. This role will coordinate and manage scheduling, prepare and organize important legal and accounting documentation, support board meetings and the preparation of board materials. This role serves as the eyes and ears for the GM and Board, connecting vendors, staff, and shareholders. Coordinates critical business information, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the corporate priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the GM and Board needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Board of Directors, Shareholders, Leadership Team, Corporate Lawyers and Accountants. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

Primary Duties and Responsibilities:

A detail-oriented self-starter with prior experience in the financial services industry.

Work directly with the General Manager to support all aspects of daily work routine.

Serve as a liaison between the Operations and Shareholders. This includes receiving phone calls and email, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.

Coordinate work with other PCV staff as needed; play a key role in the coordination of staff efforts for committee and board meetings.

Provide coordination, monitoring, and communication of projects and legal compliance for Corporation.

Assist in PCV Board activities and processes including event planning, prioritization, initiation, and execution, as well as in fostering collaboration of end-users and key stakeholders.

Serve as a primary point of contact between the Board and corporate partners including helping to coordinate the work of the different groups and providing administrative support for submission.

Assist the CIO in the development of presentations for internal and external audiences.

Determine priority of matters of attention for the GM, CEO and CFO; redirect matters to staff to handle, or handle matters personally, as appropriate.

Keep the GM advised of time-sensitive and priority issues, ensuring appropriate follow-up.

Routinely perform a wide variety of support duties.

Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.

Maintain e-mail and other address directories.

Compose and prepare letters relating to routine correspondence for the GM and CEO signature.

Schedule Leadership, Committee and Board meetings; assist in the preparation and distribution of meeting agendas, and materials.

Transcribe source material, prepare documents, reports; distribute as appropriate.

Prepare, reconcile, and submit expense reports.
